Position summary:
The Acquisition & Pipeline Development Coordinator owns and manages the early-stage donor acquisition and engagement pipeline. This role is accountable for converting new and re-engaged constituents into retained donors and preparing qualified donors for deeper investment across the Advancement portfolio.
Through lifecycle strategy, data analytics, and performance reporting, this role directly influences donor retention, revenue readiness, and long-term donor value. Success ensures a consistent, healthy flow of donors entering mid-level, major, and sponsorship pathways, supported by accurate insights that inform Advancement decision-making.
This role directly contributes to revenue growth by owning donor acquisition, early lifecycle performance, and analytics that ensure a sustainable and scalable fundraising pipeline.
PRIMARY RESPONSIBILITIES
- Owns the donor acquisition and early engagement pipeline, from first interaction through qualification for downstream portfolios.
- Implements and manages acquisition strategies across campaigns, channels, and entry points to maximize donor conversion and early retention.
- Oversees donor lifecycle progression standards to ensure donors are strategically prepared for next-step engagement.
- Maintains accountability for early-stage donor experience quality and readiness prior to portfolio transition.
- Owns acquisition and early pipeline performance reporting, including donor conversion, retention, reactivation, and lifecycle progression metrics.
- Tracks, analyzes, and monitors donor behavior and campaign performance to assess pipeline health, risks, and opportunities.
- Translates data insights into actionable recommendations that inform strategy adjustments, prioritization, and resource allocation.
- Maintains dashboards and recurring reports used by Advancement leadership to evaluate acquisition effectiveness and pipeline sustainability.
- Ensures data accuracy, consistency, and integrity across acquisition-related systems, reports, and workflows.
- Uses performance insights to improve donor lifetime value, reduce early attrition, and strengthen long-term revenue outcomes.
- Identifies trends in donor engagement and responsiveness to inform messaging, timing, and channel strategy.
- Proactively flags pipeline bottlenecks or performance risks and recommends corrective action.
- Strategically prepares and transitions qualified donors to appropriate portfolios (mid-level, major gifts, sponsorship), ensuring continuity, context, and engagement momentum.
- Partners with Marketing, Development, and Sponsorship teams to align acquisition messaging, donor experience, and revenue strategy.
- Shares performance insights and donor behavior learnings to support integrated Advancement planning.
- Maintains and oversees CRM systems, workflows, and documentation related to acquisition and early-stage donor engagement.
- Ensures consistent processes, tracking standards, and follow-through across all acquisition and pipeline activities.
- Continuously improves systems and workflows to support scalable donor growth.

- Growth in first-year donor retention and conversion rates
- Increased percentage of acquired donors progressing into qualified portfolios
- Improved engagement quality and readiness of donors entering mid-level, major gift, and sponsorship pathways
- Effective use of data analytics and reporting to strengthen pipeline health, decision-making, and long-term donor value
- Accurate, timely performance reporting that informs Advancement strategy and resource allocation

MINIMUM QUALIFICATIONS
Education/ License/Certification
- Required: Bachelor’s degree in Marketing, Communications, Business, Data Analytics, or related field.
- Preferred: Certification or coursework in Fundraising, Nonprofit Management, or CRM Data Analytics.
Experience
- Background in fundraising, marketing, donor development, or sales pipeline management.
License/Certification
- None required. CFRE or comparable fundraising certification preferred but not required.

Technology
- Proficient in Microsoft Office and Google Workspace.
- Demonstrated ability to use, research, and interpret data within CRM systems (Raiser’s Edge NXT strongly preferred).
- Comfortable generating and analyzing donor reports, building queries, and collaborating with NPact to refine segmentation and scoring models.

Work Environment & Physical Demands
This position is based primarily in-office at Back2Back’s U.S. Headquarters in Mason, Ohio. The work environment is collaborative and fast-paced, requiring regular interaction with team members across departments. Daily responsibilities involve extensive computer use, data entry, and coordination of donor and campaign activity.
The role requires consistent presence in the office to support cross-departmental communication, timely response to donor and data needs, and alignment with NPact consulting and Marketing team operations.
Physical demands are typical of a professional office setting and include sitting or standing for extended periods, operating standard office equipment, and occasional lifting of materials up to 25 pounds. Occasional participation in on-site events or mission team send-offs may be required, with minimal travel for meetings or training as assigned.
