Job Description: Supply Chain Manager – Exports

Location: Gurugram, India

Department: International Business

Role Overview

We are looking for a highly detail-oriented and execution-driven Supply Chain Manager – Exports to manage end-to-end export operations across multiple international markets including Nepal, UAE, USA, UK, Saudi, Sri Lanka, Oman, Singapore, Bahrain, Maldives, Qatar, and Seychelles.

The role involves complete ownership of export documentation, production coordination, regulatory compliance, freight negotiation, CHA and forwarder coordination, payment tracking (LC & advance payments), and ensuring seamless dispatch and delivery of goods.

This position requires strong process management skills, documentation accuracy, cost optimization capability, and proactive coordination with internal and external stakeholders.

Key Responsibilities

  • Export Order Management
  • Receive and process Purchase Orders (POs) from international buyers
  • Prepare and share Proforma Invoices (PI)
  • Obtain PI confirmations and payment terms confirmation
  • Manage LC documentation and bank submissions (where applicable)
  • Follow up for advance payments / balance payments
  • Production & Inventory Coordination
  • Submit production requests based on confirmed orders
  • Coordinate stock availability with warehouse
  • Request and confirm stock allocation
  • Obtain batch code details for documentation
  • Confirm reception of stickers, tags, cartons, and packaging materials
  • Ensure timely stickering and outer carton compliance
  • Conduct QC checks for stickering and packaging
  • Documentation & Compliance

Prepare And Manage All Export Documentation Including

  • Commercial Invoice (CI)
  • Packing List (PL)
  • Proforma Invoice (PI)
  • EasyCom documentation & invoicing
  • Certificate of Origin (COO)
  • Certificate of Analysis (COA)
  • Health Certificate (HC)
  • CEPA documentation (where applicable)
  • SCOMET documents (if required)
  • Marketing material declarations
  • Freight & insurance declarations
  • LC documentation submission to bank

Ensure documentation accuracy as per destination country compliance norms.

  • Logistics & Freight Management
  • Coordinate with freight forwarders and CHA
  • Negotiate competitive freight rates (air/sea/road)
  • Obtain ETD/ETA details
  • Arrange stock pick-up and dispatch
  • Share final document sets with importer
  • Track shipment until final delivery
  • Share tracking details and shipping bills with buyers
  • Ensure timely submission of documents for payment realization
  • Market-Specific Execution
  • Handle country-specific regulatory requirements
  • Manage special customs requirements (samples, carton configurations, labeling norms)
  • Coordinate for health certificate inspections
  • Ensure LC compliance for Nepal and other LC-based markets
  • Manage partial advance and balance payment markets
  • Cost & Process Optimization
  • Negotiate freight and logistics costs
  • Optimize packaging and shipment planning
  • Reduce dispatch delays and documentation errors
  • Improve turnaround time from PO to dispatch
  • Develop SOPs for country-wise export processes
  • Stakeholder Coordination

Candidate Profile

  • 4-7 years experience in Export Supply Chain / International Logistics
  • Strong understanding of export documentation & compliance
  • Experience handling LC-based transactions
  • Experience coordinating with CHA and freight forwarders
  • Knowledge of EasyCom, health certificate procedures, and trade documentation
  • Strong negotiation skills for freight and logistics costs
  • High attention to detail and process-driven mindset
  • Proficiency in MS Excel and documentation management
