Role Overview
- We are looking for a highly organized, proactive, and execution-focused Senior Production Executive who can manage end-to-end event production, vendor coordination, sourcing, logistics, budgeting, and on-site execution.
- The ideal candidate should have strong experience in event production, operations management, vendor negotiations, fabrication coordination, manpower management, and event setup execution. This role requires someone who can independently manage multiple projects while ensuring quality, timelines, and budgets are maintained.
- The Senior Production Executive will work closely with Client Servicing, Creative, Design, and Operations teams to successfully deliver premium weddings and events.
Key Responsibilities
1. Event Production Planning & Execution
- Manage end-to-end production planning and execution for weddings, corporate events, and experiential projects.
- Prepare production timelines, execution plans, and operational schedules.
- Coordinate all production requirements from project kickoff to event completion.
- Ensure seamless execution of all event elements according to approved plans.
- Monitor event setup, dismantling, and overall production activities.
2. Vendor Management & Sourcing
- Source vendors, suppliers, fabricators, rental partners, and production agencies.
- Obtain quotations and prepare comparative cost analyses.
- Negotiate pricing, timelines, and service agreements.
- Build and maintain a strong vendor network across multiple cities.
- Ensure vendor deliverables meet company quality standards.
- Manage vendor payments and documentation in coordination with Finance.
3. Production Budgeting & Cost Control
- Prepare production budgets and cost estimates.
- Track project expenses and monitor budget utilization.
- Identify cost-saving opportunities without compromising quality.
- Ensure profitability targets are maintained through effective cost management.
- Prepare post-event cost reports and analysis.
4. Logistics & Operations Management
- Manage transportation, warehousing, loading, unloading, and material movement.
- Coordinate logistics for décor, production materials, equipment, and manpower.
- Ensure timely availability of all resources required for execution.
- Handle operational challenges and provide quick solutions during events.
5. Fabrication & Setup Coordination
- Coordinate with fabrication teams, carpenters, decorators, printers, and production vendors.
- Supervise fabrication quality and production timelines.
- Ensure installation is completed according to approved designs and technical requirements.
- Conduct quality checks before event handover.
6. On-Site Event Management
- Lead production operations during event execution.
- Manage venue setup, technical arrangements, vendor coordination, and manpower deployment.
- Ensure adherence to event timelines and show flow.
- Resolve on-ground issues efficiently and maintain smooth event operations.
- Coordinate with client servicing teams to ensure client satisfaction.
7. Team Coordination & Leadership
- Supervise production coordinators, interns, and support staff.
- Delegate responsibilities and monitor team performance.
- Ensure clear communication and accountability across teams.
- Foster a collaborative and solution-oriented work environment.
8. Risk Management & Problem Solving
- Anticipate operational risks and develop contingency plans.
- Troubleshoot production challenges during planning and execution stages.
- Ensure smooth event delivery under tight deadlines and high-pressure situations.
- Maintain operational excellence and quality standards.
9. Documentation & Reporting
- Maintain project documentation, vendor records, quotations, and production reports.
- Prepare event execution reports and post-event reviews.
- Track project status and share regular updates with management.
- Ensure proper record keeping for future reference and cost optimization.

Education & Experience
Education
- Bachelor's Degree in Event Management, Operations, Business Administration, Hospitality, Production Management, or related field.
Experience
- 4–8 years of experience in Event Production, Wedding Operations, Event Management, Production Management, or Experiential Events.
- Proven experience managing large-scale weddings, corporate events, exhibitions, or experiential projects.
- Strong exposure to vendor management, fabrication, logistics, and on-ground execution.
- Experience leading production teams and handling multiple projects simultaneously.

Compensation
- Salary Range: ₹35,000 – ₹55,000 per month
(Based on experience, event exposure, vendor network, and overall skill fit.)
