General Description Of Role

The IND Proposal Specialist / Writer (Level 7) independently delivers moderate‑to‑high complexity proposals in line with defined SLAs, timelines, and quality standards. The role owns first‑draft development, narrative structure, and compliance execution for assigned proposal workstreams, with a strong emphasis on editorial judgment, written quality, and advanced Microsoft Word proficiency.

The role operates with minimal supervision, partners closely with onshore writers, content managers, and subject matter experts, and supports multiple concurrent bids, including fast‑turn and priority submissions.

Job Responsibilities

Proposal Development & Content Management

  • Independently own first‑draft development for assigned proposal sections or modules, tailoring narrative to client context, buyer intent, and evaluation criteria.
  • Interpret RFP requirements, develop and maintain compliance matrices, and identify gaps, risks, and clarification needs.
  • Apply advanced editorial judgment to ensure narrative flow, logical structure, accuracy, consistency, and adherence to brand and style standards.
  • Create, manage, and optimize proposal response templates and approved content within Loopio or similar proposal content platforms.
  • Coordinate SME content reviews and updates to ensure accurate, compliant, submission‑ready responses.

Document Production & Quality Control

  • Export proposal responses to Microsoft Word and perform advanced drafting, editing, formatting, version control, and final quality reviews prior to submission.
  • Enforce disciplined document management practices, including version control, naming conventions, change tracking, and structured review workflows.
  • Oversee formatting of proposal documents, appendices, and forms, including population of required standard firm content (e.g., tax ID, corporate information, diversity statements).

Collaboration & Delivery

  • Partner closely with SMEs, writers, production assistants, and content managers to deliver complete, high‑quality submissions under tight and competing deadlines.
  • Independently manage multiple concurrent bids, balancing quality, responsiveness, and delivery risk.
  • Exercise sound judgment under pressure, proactively resolving issues and escalating risks to protect deadlines, SLAs, and submission quality.
  • Provide guidance, coordination, and day‑to‑day support to Level 8 specialists and production resources as needed.

Technology & AI Enablement

  • Assertively use collaboration, content, and workflow tools (including Loopio) to optimize prioritization, transparency, and delivery efficiency.
  • Leverage approved AI‑assisted drafting and review tools to accelerate first drafts, support compliance interpretation, and enhance editorial quality.
  • Contribute to continuous improvement of proposal processes, tools, and technology adoption.

Skills/Competencies Required

  • 4–7 years of experience in proposal management, bid writing, content development, or editorial roles within consulting, insurance, professional services, or similar environments.
  • Exceptional written and verbal English communication skills with demonstrated first‑draft ownership and editorial leadership.
  • Strong analytical skills with the ability to interpret complex RFP requirements and make sound compliance judgments.
  • Advanced proficiency in Microsoft Word; working knowledge of PowerPoint.
  • Proven experience supporting moderate‑to‑high complexity bids in SOP‑driven quality environments.
  • Strong working knowledge of Loopio or similar proposal content management tools.
  • Ability to manage multiple deadlines across time zones with minimal supervision.
  • Strong ownership, accountability, and stakeholder partnership mindset.
  • Commitment to continuous improvement through knowledge sharing, training, and coaching.
