Role Description
The Marketing Office Coordinator will serve as the backbone of the marketing team, ensuring smooth day-to-day operations, vendor coordination, and accurate reporting. This role requires a highly organized individual capable of managing multiple tasks, supporting marketing campaigns, and facilitating effective communication between internal teams and external vendors.
Key Responsibilities:
1. Administration & Coordination
- Handle backend reporting and maintain accurate lead data management for campaigns and promotions.
- Act as the primary point of contact for marketing vendors including printing agencies, creative teams, and flex/banner suppliers.
- Ensure smooth communication and coordination between the marketing team and branch offices.
- Maintain calendars, schedules, and documentation for marketing campaigns and events.
2. Campaign & Event Support
- Assist in the planning and execution of marketing campaigns, activations, and pre-launch events.
- Support preparation of marketing collaterals, presentations, and promotional materials.
- Track marketing campaign performance metrics and report insights to the team.
3. Documentation & Reporting
- Maintain and update databases for leads, client inquiries, and campaign results.
- Prepare daily, weekly, and monthly reports for marketing activities and budgets.
- Ensure proper archiving of campaign files, vendor invoices, and marketing materials.
4. Team Support & Communication
- Facilitate effective communication between marketing team members, branches, and external vendors.
- Support the marketing team with administrative and operational tasks as needed.

- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Attention to detail and accuracy in reporting.
- Ability to work independently and as part of a team.
- Problem-solving mindset and proactive approach.
Qualifications & Experience:
- Bachelor’s degree in Marketing, Business Administration, or a related field.
- 2–4 years of experience in marketing coordination, office administration, or related roles.
- Prior experience in vendor coordination and reporting is preferred.
