About The Role
The HR & Compliance Specialist (DOT Focus) role is a vital part of our human resources team, primarily supporting compliance with Department of Transportation (DOT) regulations, driver qualification management, and regulated onboarding processes. This position involves overseeing driver qualification files, ensuring adherence to FMCSA standards, and supporting DOT drug and alcohol testing procedures. Additionally, the specialist will assist with benefits administration, HRIS management (specifically Paylocity), employee onboarding, and training coordination across multiple locations with safety-sensitive roles. The ideal candidate will possess hands-on experience maintaining driver qualification documentation, supporting DOT compliance initiatives, and working collaboratively with operational and safety teams to ensure regulatory adherence and a seamless employee experience.

About The Role

Qualifications
Required:
- Minimum of 2 years of HR experience with exposure to DOT compliance and driver qualification management
- Practical experience maintaining Driver Qualification (DQ) files in accordance with FMCSA and DOT regulations
- Strong working knowledge of DOT/FMCSA regulations related to drivers and safety compliance
- Experience supporting benefits administration and group insurance processes
- Proficiency with HRIS systems, with a preference for Paylocity experience
- Exceptional attention to detail and the ability to identify documentation errors
- Strong interpersonal skills and the ability to collaborate across departments in a fast-paced environment
- Experience in transportation, waste management, logistics, or field-based operations
- Familiarity with DOT audits or compliance reviews
- Associate's or Bachelor's degree in Human Resources, Business, or related field
DOT & Driver Compliance
- Maintain and audit Driver Qualification (DQ) files to ensure compliance with FMCSA and DOT standards
- Track and manage driver credentials, including CDL status, medical cards, MVRs, prior employment verifications, and annual reviews
- Coordinate DOT-mandated drug and alcohol testing, including pre-employment, random, post-accident, and reasonable suspicion testing
- Support adherence to company Drug & Alcohol and Safety policies, ensuring accurate documentation
- Assist with DOT audits and compliance reviews, preparing necessary documentation and reports
- Coordinate onboarding processes for DOT-regulated and non-DOT employees, ensuring all documentation is complete prior to safety-sensitive duties
- Support and monitor new-hire safety training, including Hours of Service (HOS), drug & alcohol awareness, and other safety protocols
- Maintain accurate onboarding and training records to support compliance and operational needs
- Assist with group benefits enrollment, modifications, and termination processes
- Serve as a primary contact for employee benefits questions and coordinate with vendors
- Support open enrollment activities and benefits communication initiatives
- Maintain employee data in Paylocity, ensuring data accuracy and integrity
- Utilize Paylocity for managing employee records, onboarding, and HR-related administrative tasks
- Collaborate with Operations, Safety, Management, and external vendors to resolve HR and compliance issues
- Support HR reporting, recordkeeping, and internal control processes
- Assist with other HR initiatives and administrative duties as assigned
