About The Role

The Manager, Executive Administrative Assistant at F&G plays a pivotal leadership role within the Shared Services function. This position is responsible for leading a team of four Executive Administrative Assistants, ensuring the delivery of high-quality, efficient administrative support to F&G’s senior executives. The role involves overseeing administrative processes, managing complex calendars, coordinating meetings and travel logistics, and handling sensitive information with discretion. In addition to team management, the Manager provides direct support to designated senior leaders, helping to prioritize tasks, prepare materials, and facilitate seamless communication between executives and internal/external stakeholders. The ideal candidate is a strategic thinker with exceptional organizational skills, a proactive approach, and the ability to foster a collaborative environment that drives continuous improvement across administrative services. Reporting to the Director of Workplace Services, this role is critical in ensuring that executive operations are executed effectively, aligned with organizational goals, and delivered with professionalism and confidentiality.

Qualifications

  • High School Diploma required; Bachelor’s degree preferred
  • Minimum 7 years of executive-level administrative support experience
  • At least 3 years of direct people leadership experience, either as a supervisor or senior/lead Executive Administrative Assistant with team management responsibilities
  • Experience supporting executives across multiple locations is strongly preferred
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and virtual meeting platforms such as Microsoft Teams
  • Strong organizational and multitasking skills with excellent attention to detail
  • Ability to manage multiple calendars and high-volume scheduling efficiently
  • Excellent verbal and written communication skills
  • Demonstrated leadership and coaching abilities, with experience in performance development and conflict resolution
  • Experience with budget management, expense reconciliation, and travel coordination
  • Ability to analyze objectives and prioritize workload accordingly
  • High level of professionalism, discretion, and confidentiality
  • Flexibility to accommodate occasional outside-business hours and travel (up to 20%)

Responsibilities

  • Lead, coach, and develop a team of Executive Administrative Assistants to ensure consistent, professional, and high-quality support to executive leadership
  • Oversee administrative processes including calendar management, meeting coordination, travel arrangements, and expense reporting
  • Ensure executives are well-prepared for meetings by coordinating necessary materials, reports, and presentations
  • Manage logistics for meetings and offsite events, including facility arrangements and accommodations for visitors or clients
  • Handle sensitive and confidential information with the utmost discretion and professionalism
  • Act as a liaison between executive leadership and internal/external stakeholders, representing the executive office efficiently
  • Anticipate executive needs, prioritize tasks, and proactively identify potential issues impacting deliverables or timelines
  • Collaborate with Shared Services teams to identify opportunities for process improvements and operational efficiencies
  • Prepare, process, and reconcile travel and business expenses, ensuring compliance with company policies and audit standards
  • Support strategic initiatives by managing multiple projects and coordinating executive schedules accordingly
  • Perform other duties and special projects as assigned to support organizational objectives
