Title: Documentation Control Specialist
Position Summary:
The Documentation Control position is responsible for the collection and organization of all projects related documents as they are developed. Daily communication with the field personnel will be required to remain up to date on current field activities and the documentation required to be developed and stored in the job book.
Essential Functions:
- Effectively interface with field personnel to ensure compliance with book developments practices
- Print and distribute documents as needed
- Retrieve, scan, upload, and file documents according to company procedure
- Review and update documents for maintenance and quality control
- Provide guidance on document control processes to ensure they are understood and properly performed
- Monitor a document’s lifecycle as it progresses through each stage, from creation to archival
- Audit incoming documentation for quality checks to ensure compliance with company requirements
- Keep appropriate personnel updated on new document versions and how to obtain access
- Develops templates for common document types
- Maintain confidentiality regarding sensitive documents
- Establish and maintain record retention timelines
- Final job book quality control and creation
- On-site field work as required and necessary
- Other duties as assigned
Competency Statements:
- Knowledge of document control procedures, standards, and best practices
- Proficient in Microsoft Word, Excel, and Adobe Acrobat
- Experience with document management systems such as AutoDesk and SharePoint
- Strong organizational skills and attention to detail
- Effective communication and collaboration in fast-paced, cross-functional teams
- Ability to prioritize tasks, manage time, and meet deadlines
- Understanding of industry regulations and compliance requirements
- Ability to handle sensitive and confidential information with discretion
Position Type and Expected Hours of Work:
This is a full-time position with typical working hours of Monday through Friday, 9:00 AM to 5:00 PM. Hours and work shift may change in accordance with business needs. Travel to job sites may be required as needed.
Required Education, Experience, and Skills:
Education: High School Diploma
Experience: Minimum of 2 years of oil and gas experience specializing in document control and material management. Construction experience is a plus.
Computer Skills: Microsoft Word, Excel and proficiency in inventory and RFP management software
Job Type: Full-Time
Pay: Starting at $60,000 per year, depending on experience.
