Role Overview
The Client Relationship Officer serves as the primary point of contact between the firm and its clients, ensuring seamless communication, timely service delivery, and long-term client satisfaction. This role is critical to client retention, repeat business, and referral generation.
Roles & Responsibilities
- Manage and maintain relationships with existing clients across trademark, patent, copyright, and legal compliance portfolios
- Act as the single point of contact for all client queries, updates, and follow-ups
- Coordinate with internal teams — Legal, Operations, and Accounts — to ensure timely delivery of filings, registrations, renewals, and advisory services
- Provide proactive, regular updates to clients regarding case status, hearing dates, office action responses, and documentation requirements
- Handle client communications professionally through calls, emails, WhatsApp, and in-person meetings
- Identify additional client requirements (renewals, new filings, enforcement actions, compliance needs) and recommend suitable services
- Maintain accurate and up-to-date records of all client interactions, follow-ups, and escalations in the firm's CRM system
- Support the onboarding process for new clients, including document collection and initial briefing
- Assist in collecting client feedback and resolving service-related concerns promptly
- Contribute to client retention targets and support reactivation of dormant client accounts
- Prepare periodic reports on client engagement, pending follow-ups, and service delivery timelines
Required Skills & Qualifications
- Graduate or Postgraduate in any relevant discipline (Law, Business Administration, or Commerce preferred)
- 1–3 years of experience in client handling, customer relationship management, or account management (experience in a legal, CA, or professional services firm is a strong advantage)
- Excellent verbal and written communication skills in English and Tamil
- Strong interpersonal skills with the ability to build trust and maintain professional relationships
- Good coordination, organisational, and follow-up abilities
- Proficiency in MS Excel, Google Workspace, and basic reporting tools
- Ability to handle multiple client accounts simultaneously and work under deadlines
- A service-oriented mindset with attention to detail
Preferred (Good to Have)
- Familiarity with IP filings, trademark procedures, or legal service workflows
- Experience working with CRM tools (Zoho CRM, HubSpot, or similar)
- Basic understanding of government portal processes (TMR, Patent Office, MCA)
- Bilingual fluency in Tamil and English
