Job Description

Role and Responsibilities / KRAs

  • Executive & Calendar Coordination
  • Manage the COO’s calendar, meetings, and schedules to ensure effective time management.
  • Coordinate internal and external meetings, prepare agendas, and circulate minutes of meetings (MoMs).
  • Track action items and follow up with stakeholders to ensure closure.
  • Act as the first point of contact for routine communications to the COO.
  • Project & Delivery Coordination
  • Support execution of operational and strategic initiatives driven by the COO.
  • Coordinate with cross-functional teams to track project timelines, deliverables, and dependencies.
  • Maintain project trackers and ensure timely status updates.
  • Flag risks, delays, and dependencies proactively.
  • Stakeholder & Communication Management
  • Coordinate with functional teams on behalf of the COO for updates and follow-ups.
  • Support leadership meetings by consolidating inputs and preparing summaries.
  • Ensure accurate and timely communication across stakeholders.
  • Operational Support & Reporting
  • Assist in preparing MIS, dashboards, presentations, and reports for leadership review.
  • Collate data, track KPIs, and support basic analysis.

Ensure adherence to timelines and operational discipline across assigned initiatives.

  • A Chief of Staff increases executive effectiveness by aligning priorities, managing strategic initiatives, and improving decision-making.Overall, the role drives efficiency, coordination, and faster organizational execution.

Qualifications And Experience Requirements

  • Graduate / Postgraduate in Management, Operations, or related fields
  • Prior experience in executive support, operations, program coordination, or PMO roles
  • Exposure to working with senior leadership is a plus

Knowledge/Skills/Attributes

  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High attention to detail and follow-through
  • Ability to work closely with senior stakeholders
  • Proficiency in MS Excel, PowerPoint, and email communication
  • Basic understanding of project management concepts

  • Internal: Employees, managers, and leaders of the Company in India.
  • External: Partners and other external stakeholders associated with the Company.
  • Primary Stakeholders: All program/practice teams, support group teams, and respective Heads of Departments within the Company
  • Secondary Stakeholders: Company leadership team and the Chief of Staff.
