Job Description
The Chief of Staff to the CEO is a high-trust, high-impact role at the nerve centre of Mavilach Group's leadership. You will serve as the primary operational arm of the CEO managing priorities, enabling decisions, driving cross-functional execution, and ensuring the CEO's time, attention, and energy are focused where they matter most. This role demands discretion, strategic thinking, and an ability to operate across verticals including PR, media, events, and international business.
- Own and manage the CEO's calendar end-to-end scheduling, prioritising, and protecting time for high-value activities
- Coordinate domestic and international travel including itineraries, visas, accommodation, and logistics
- Prepare briefing notes, agendas, and pre-read materials ahead of every meeting
- Handle CEO correspondence emails, WhatsApp, and formal communications — with appropriate tone and discretion
- Act as the connective tissue between the CEO and all business units (PR, digital, events, media, web)
- Track progress on strategic initiatives and follow up with teams to ensure deadlines are met
- Prepare reports, dashboards, and executive summaries for the CEO's review
- Identify operational bottlenecks and proactively resolve or escalate them
- Serve as the first point of contact for senior stakeholders, clients, partners, and VIP guests on behalf of the CEO
- Manage communication with international offices, partners, and collaborators
- Represent the CEO's office in internal meetings when required and relay decisions accurately
- Coordinate key projects and flagship programmes (summits, awards, launches) from the CEO's office
- Liaise with production, marketing, and operations teams to ensure CEO's priorities are reflected in execution
- Support preparation of presentations, proposals, and external-facing documents
- Handle sensitive business information with the highest level of discretion
- Assist in research, competitive intelligence, and business development inputs as directed by the CEO
- Lead or support special projects as assigned, ranging from hiring decisions to new business evaluation
- 3–7 years of experience in a Chief of Staff, Executive Assistant, or Operations leadership role
- Exposure to media, PR, events, or consulting environments preferred
- Exceptional written and verbal communication skills in English
- Strong command of productivity tools, Google Workspace, MS Office, and project management tools
- Calm under pressure, highly organised, and able to manage multiple priorities simultaneously
- Discreet, loyal, and professional in all interactions
- Comfortable operating in a fast-paced, global, and entrepreneurial environment
- Graduate or postgraduate in Business Administration, Media, Communications, or related field
- Prior experience supporting a Founder / CEO / C-Suite executive
- Familiarity with international business etiquette and cross-cultural communication
- Experience with event or summit coordination is a plus
- A front-row seat to the leadership of a global media and PR conglomerate
