About the Role

We are looking for a proactive and organized Administrative Executive to keep office operations running smoothly and to support core people and workplace processes. The role owns day-to-day administration, vendor coordination, travel support, documentation, and onboarding setup so employees can work in a clean, efficient, and well-managed environment. Success in this role means anticipating needs, resolving operational issues quickly, and maintaining reliable systems for office inventory, records, and facilities. The right candidate will combine strong coordination skills with attention to detail and a service mindset.


Key Responsibilities

  • Own day-to-day office administration so workplace operations stay smooth, organized, and efficient for employees and visitors.
  • Manage office supplies, stationery, pantry inventory, and company assets to prevent shortages, control usage, and maintain visibility over resources.
  • Coordinate with vendors for housekeeping, security, maintenance, courier services, and other facility needs to keep the office functional and well-serviced.
  • Ensure the office remains clean, safe, and well-maintained by tracking issues, following up on repairs, and closing operational gaps quickly.
  • Arrange travel, accommodation, and transportation for employees and visitors so movement is timely, cost-conscious, and hassle-free.
  • Organize meetings, conference rooms, office events, and employee activities to support collaboration and a well-run workplace experience.
  • Maintain administrative records, invoices, purchase orders, and vendor contracts so documentation is accurate, accessible, and compliant.
  • Support onboarding by arranging workstations, ID cards, access cards, and other setup requirements so new joiners are productive from day one.


Essential Skills & Technologies

  • Strong office administration and facilities coordination capability, with the ability to manage multiple operational workstreams without losing control of details.
  • Proficiency in Microsoft Office, especially Excel, Word, and PowerPoint, to track data, prepare documentation, and support day-to-day administrative work.
  • Vendor and stakeholder management skills to coordinate effectively across internal teams, external service providers, and office support partners.
  • Excellent organization, multitasking, and follow-through to keep records, travel, inventory, and workplace needs moving on time.
  • Working knowledge of office inventory management, travel arrangements, and administrative documentation to maintain dependable operating systems.
  • Awareness of office policies, safety standards, and administrative procedures to support compliance and a disciplined workplace environment.


Additional Plus

  • Prior exposure to employee onboarding coordination and workplace experience support will help the candidate contribute faster.
  • Experience handling office budgets and administrative spend control will be an added advantage.
