Job Title: 2nd Executive Assistant to C-Level Executive - Asset Management
Location: New York, NY
Position Type: Full-Time
Compensation: $150k-200k base + bonus
Work Schedule: 5x a week in-office (with flex around executives calendar)
Job Overview:
This role will primarily support the C-Level Executive, ensuring seamless administrative operations. You will work with the executive's other EA/Chief of Staff as well. While this position offers leadership opportunities, its primary focus is on providing direct support to the executive rather than managing large teams.
Key Responsibilities:
- ***Executive Support: Provide comprehensive administrative assistance to the executive, including calendar management, travel coordination, and meeting scheduling.
- ***Personal Support: Facilitate communication with spouse discussing personal and business calendar alignment - multiple entities, creating agendas, doctor appt's, etc.
- ***Event Planning: Coordinate corporate events, offsites, and meetings with detailed attention to logistics.
- Team Coordination: Facilitate communication and alignment across departments, ensuring the executive's priorities are consistently supported.
- Meeting Preparation: Prepare meeting agendas, documents, and presentations; take detailed minutes and ensure follow-up on action items.
- Travel Management: Organize complex domestic and international travel arrangements, including flights, accommodations, and ground transport.
- Expense Management: Handle and process expense reports for the Executive, ensuring accuracy and adherence to company policies.
- Communication Management: Act as the primary point of contact for internal and external communications, ensuring timely and clear information flow.
- Ad-hoc Projects: Lead and execute special projects as assigned, demonstrating initiative and independent problem-solving.
Qualifications:
Experience:
- Proven experience as an Executive Assistant, ideally within financial services or a fast-paced corporate environment (7+ years).
- Demonstrated ability to manage complex schedules and handle confidential information with discretion.
Skills:
- Exceptional organizational and multitasking skills.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
- Ability to thrive in a dynamic environment while managing multiple priorities.
