Job Title: Sales Support Executive – Key Accounts
Location: Kochi
Work Mode: Work from Office
Working Days: Monday to Friday
Working Hours: 9:30 AM – 6:30 PM
Salary: ₹40,000 per month
Job Summary:
We are looking for a proactive and detail-oriented Sales Support Executive to provide end-to-end back-office support for major key account customers. The role involves close coordination with Sales, Finance, Logistics, and Supply Chain teams to ensure smooth execution of all sales-related processes while maintaining high standards of accuracy, compliance, and customer satisfaction.
Key Responsibilities:
- Provide efficient back-office sales and marketing support to the sales team in line with company standards, policies, and procedures.
- Proactively support salespersons handling major key account customers.
- Work on company SOPs, Sales Force CRM, D365, and other ERP systems; continuously learn and train on internal systems in coordination with IT and CRM teams.
- Prepare and manage quotations in predefined formats and on client online portals when required.
- Process Sales Orders, Purchase Orders, and related trade finance documents.
- Follow up on customer payments and send Statements of Account (SOA).
- Update stock inventory and prepare stock requests.
- Maintain and control documentation including principals’ price lists and catalogues.
- Coordinate with suppliers and principals to ensure accurate and timely communication.
- Understand and apply Incoterms, payment instruments (Advance Payments, LCs, Bank Guarantees, etc.) in sales documents.
- Read and interpret customer purchase orders, letters of intent, and sales contracts.
- Ensure timely submission of quotations, delivery of materials, and services as per customer timelines.
- Coordinate insurance requirements with the Admin team where applicable.
- Maintain warranty records and ensure support until warranty completion.
- Ensure 100% retention of key account customers through proactive follow-ups and daily task planning.
- Gain in-depth knowledge of company products, services, and technical specifications to accurately address RFQs and compliance requirements.
- Work closely with Finance, Credit Control, Logistics, and Supply Chain teams throughout the sales cycle.
- Archive all incoming and outgoing documents and consolidate reports for the Unit Head.
- Follow up on sales activities during the absence of sales personnel.
- Evaluate and improve the quality of sales submittals and documentation.
- Prepare presentations using MS Office and other required software.
- Ensure all sales processes comply with company ISO standards by coordinating with the ISO MR.
- Suggest process improvements to enhance efficiency and effectiveness of the unit.

- Working knowledge of CRM, ERP systems, and MS Office
- Understanding of sales processes, Incoterms, and trade finance basics
- Ability to multitask and work closely with cross-functional teams
