Key Responsibilities:


1. Executive Support


* Manage the Ops Manager's calendar, appointments, meetings, and travel with accuracy and efficiency.

* Coordinate and prioritise incoming communication, emails, and requests; respond or redirect as needed.

* Prepare meeting briefs, presentations, minutes, and follow-up action trackers.

* Ensure timely reminders and support in staying ahead of schedules and deadlines.


2. Operational Coordination


* Assist in monitoring ongoing projects led by the Operations team and provide status updates.

* Liaise with internal teams to collect reports, data, and operational insights required by Ops Manager

* Follow up with teams on assigned tasks, ensuring progress and timely completion.

* Support in process management, documentation, and workflow optimisation.


3. Communication & Stakeholder Management


* Act as the first point of contact for internal and external stakeholders on behalf of the Ops Manager

* Draft, review, and refine official communication, emails, and documentation.

* Maintain confidentiality and handle sensitive information with discretion.


4. Administrative & Logistical Support


* Organise travel, accommodation, meetings, and event-related logistics.

* Maintain records, files, and documentation in an organised and accessible manner.

* Manage expense reports, reimbursements, and procurement requests.


5. Special Projects & Strategic Support*


* Assist the ops Manager in executing special initiatives and cross-functional projects.

* Conduct basic research, data compilation, and analysis as required.

* Support in preparing operational dashboards and performance summaries.



Job Requirement

* Ability to work under pressure and manage tight timelines

* Strong interpersonal skills and professional demeanour

* Proficiency in MS Office/Google Workspace (Docs, Sheets, Slides)


Qualification:

  1. Bachelor’s degree (preferred)
  2. 2–5 years of experience as a Personal Assistant, Executive Assistant, or in an administrative role
  3. Experience working in a dynamic, fast-paced environment (preferred)
