We are looking for a professional Office Assistant to manage front desk operations and support general office administration. This role is the first point of contact for employees, visitors and plays a key role in maintaining a welcoming, organised, and efficient office environment.
The ideal candidate will be well-groomed, confident, articulate in English, and experienced in handling front desk and administrative responsibilities in a corporate setting.

Job Requirements
- 4–7 years of experience in facility management and office administration, preferably in a corporate setting.
- Strong verbal and written communication skills in English.
- Professional appearance and confident interpersonal skills.
- Ability to manage budgets, vendors, contracts, and operational logistics efficiently
- Ability to multitask and manage priorities effectively.
- Proficiency in basic MS Office tools (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- A background in the hospitality industry is highly preferred.
- The candidate should be flexible with working hours when needed, especially for official events, client visits or similar occasions.
Facility Management:
- Maintain the facility and oversee daily administrative operations, ensuring a safe, functional, and efficient workplace.
- Supervise cleaning, landscaping, parking, and other support teams, ensuring adherence to best practices for facility upkeep.
- Provide guidance and manage ground staff including Office Assistants, Pantry Boys, Housekeeping Staff, MST, and security guards, in coordination with vendors.
- Create and maintain budgets for maintenance, repairs, supplies, contracts, and other facility-related expenses, ensuring adherence to approved limits.
- Manage facility requirements for hosting client visits, staff events, and other office activities.
- Ensure coherent availability and utilization of resources, including cleaning supplies, cafeteria consumables, and waste management.
- Hire external professionals for building, equipment, or machinery repairs and maintain a cost-efficient vendor base for procurement of inventory and services.
- Oversee communication, security frameworks, and safety compliance within the facility, ensuring adherence to local regulations and industry standards.
- Perform regular inspections of the building, equipment, and systems to identify and resolve issues proactively.
- Manage contracts for construction, maintenance projects, and annual service agreements negotiate and renew contracts, including insurance for maintenance services.
- Maintain detailed records for the facility, including maintenance bills, AMC contracts, and payment information.
- Support company initiatives and events by sourcing and coordinating viable facility-related options.
- Serve as the first point of contact for employees, visitors, clients, and vendors, ensuring a professional and welcoming environment.
- Greet guests, manage visitor access, and maintain office security procedures.
- Handle incoming calls, emails, courier management, and scheduling of meetings and conference rooms.
- Support leadership and internal teams by providing administrative assistance as required.
