Job Description

Job Summary

We are looking for a Maintenance MIS Executive with a strong background in fleet maintenance, vehicle service records, and workshop coordination. The candidate will manage maintenance data, job history records, spare parts tracking, oil records, vendor bills, and coordination with mechanics across multiple cities to ensure smooth fleet operations.

Key Responsibilities

Maintenance MIS & Documentation
Update and maintain job cards and vehicle history cards
Prepare daily vehicle morning & evening reports
Maintain daily maintenance sheets
Ensure accurate MIS data entry for preventive and breakdown maintenance
Oil & Vehicle Records
Maintain proper records of:

Engine Oil
Hydraulic Oil
Gear Oil

Track oil change schedules and update MIS accordingly
Parts & Workshop Coordination
Collect city-wise spare parts requirements
Raise parts requests and maintain inventory records
Verify parts requirements and usage with site mechanics
Coordinate with workshops for maintenance updates
Vendor & Billing Management
Maintain records of local vendor bills
Coordinate vendor payments
Submit verified bills to the Accounts Department
Track pending and cleared bills
Multi-City Maintenance Handling
Manage maintenance MIS operations for 3 cities
Coordinate with city maintenance teams for reporting and updates
Mechanic & Vendor Management
Regular coordination with site mechanics for breakdown and preventive maintenance
Manage local vendors for parts and services
Maintain service communication records

Required Skills

Strong MS Excel & MIS reporting skills
Knowledge of fleet/vehicle maintenance processes
Understanding of job cards, vehicle history, preventive maintenance
Vendor and workshop coordination experience
Good documentation and record-keeping ability
Ability to handle multi-city operations

Qualification

Graduate / B.Tech (CSE / Electrical / Mechanical preferred)

Experience Required

1–4 years of experience in:

Fleet maintenance
Vehicle service operations
Workshop / transport maintenance environment

Experience in SAP or maintenance record systems preferred
