Job Description

Job Title: Office Executive

Location: Shraddha Children's Academy, OMR, Padur, Chennai 603103

Reports To: Admin Manager / Principal

Job Summary:

The Office Executive is responsible for managing front office operations, administrative coordination, and supporting day-to-day school functioning. The role ensures smooth communication between parents, staff, and management while maintaining professional office standards.

Key Responsibilities:

1. Front Office Management

  • Handle incoming calls, emails, and walk-in enquiries from parents and visitors.
  • Provide accurate information regarding admissions, school policies, and general queries.
  • Maintain visitor records and ensure proper entry protocols.

2. Administrative Support

  • Assist in day-to-day administrative activities of the school office.
  • Maintain student records, staff data, and official documentation.
  • Support the admission process including form issuance, collection, and follow-up.

3. Communication & Coordination

  • Act as a liaison between parents, teachers, and management.
  • Coordinate meetings, appointments, and school events.
  • Draft and circulate notices, circulars, and official communications.

4. Documentation & Record Keeping

  • Maintain files, registers, and digital records in an organized manner.
  • Ensure confidentiality of student and staff information.
  • Handle correspondence and maintain inward/outward registers.

5. Fee & Basic Accounts Support

  • Assist parents with fee-related queries.
  • Coordinate with the accounts team for fee records and receipts.

6. Support to School Operations

  • Assist during school events, inspections, and audits.
  • Coordinate logistics for meetings and training sessions.
  • Support transport and other administrative departments when required.

Qualifications & Skills:

  • Graduate in any discipline (preferred).
  • 2–5 years of experience in a school or administrative role.
  • Good communication skills in English and regional language (Tamil preferred).
  • Proficiency in MS Office and school ERP systems (e.g., greytHR or similar).
  • Strong organizational and multitasking abilities.
  • Presentable, polite, and customer-service oriented.

Working Conditions:

  • 6 days working (as per school policy)
  • School working hours with flexibility during events/admissions season

Pay: ₹15,000.00 - ₹21,500.00 per month
