Role Overview

We're seeking an Executive Assistant with operational and strategic exposure to run the founder's office and help scale our early-stage company. You'll own founder productivity (schedules, meetings, communications), drive process improvements across the team, and get exposure to strategic company initiatives—learning how founders think about growth, partnerships, and market positioning. This is an EA role with intentional growth; if you're ambitious, this is a rare window to learn how early-stage companies actually work.

Role Type: Full-time, Remote

Experience Level: 2-5 years in operational, administrative, or support roles

Why this role: You'll master operations and get strategic context. That combination is rare and valuable.

Core Responsibilities

Founder's Office & Operations Management (60%)

  • Manage founder's calendar, meetings, travel, and day-to-day schedule with precision
  • Coordinate board meetings, investor calls, and executive communications
  • Maintain founder office systems (Notion workspace, documents, decision logs, meeting notes)
  • Prepare meeting agendas, briefing documents, presentation materials, and executive summaries
  • Handle email, scheduling, and stakeholder communication flow
  • Be the operational hub—everyone knows you own founder productivity

Strategic Exposure & Projects (20%)

  • Sit in on strategic meetings and founder planning sessions; understand company direction and priorities
  • Support market research, competitive analysis, and strategic decision-making with data and insights
  • Own coordination for 1-2 strategic initiatives per quarter (e.g., partnership launches, campaign planning, investor prep)
  • Contribute ideas on how initiatives could work better; your ops perspective often spots gaps strategy alone misses
  • Learn how founders think about positioning, growth levers, and market opportunities
  • No MBA-level expectations—your job is to learn by doing alongside the founder

Growth Operations & Process Improvement (20%)

  • Identify operational bottlenecks and propose solutions (process improvements, automation, delegation)
  • Coordinate cross-team communication, project tracking, and deadline management
  • Support fundraising efforts (due diligence prep, investor documentation, cap table organization)
  • Build systems and workflows that scale (you're solving problems that'll matter as we grow)
  • Monitor company KPIs, metrics dashboards, and operational health
  • Occasional special projects that drive company growth

Core Competencies

  • Organized & meticulous: You manage multiple priorities, deadlines, and stakeholders with precision. Details matter to you.
  • Proactive problem-solver: You don't just execute tasks—you spot gaps, anticipate needs, and suggest improvements
  • Curious & strategic thinker: You ask "why" and connect dots. You want to understand how the business works, not just execute tasks
  • Communication excellence: Crystal-clear written communication (email, Slack, docs). Professional and articulate in meetings with all levels
  • Discretion & judgment: You handle sensitive founder information, investor conversations, and strategic plans with maturity and confidentiality
  • Ownership mentality: You take responsibility for your domain. You don't escalate everything—you problem-solve or propose solutions
  • Adaptability: You're flexible with shifting priorities and energized by startup ambiguity, not frustrated by it
  • Reliability: People can count on you to deliver. You follow through without being nagged

Experience

  • 2-5 years in one or more of: Executive Assistant, Operations Coordinator, or Administrative role
  • Startup operations, project coordination, or office management
  • Support role where you've owned process improvements or strategic coordination
  • Experience with calendar management, stakeholder communication, and meeting coordination
  • Bonus: Any exposure to strategy, business operations, or working alongside founders/C-level
  • Comfort working independently and thinking on your feet

Technical Skills

  • Daily tools: Proficiency in Notion, Asana, Google Workspace/MS Office, Zoom
  • Nice-to-have: Calendly, DocuSign, basic data visualization (spreadsheets, dashboards)
  • Learning mindset: You pick up new tools quickly without hand-holding

What You'll Learn/Develop

  • Direct impact: You'll shape how the founder's office (and by extension, the company) runs. Your systems matter
  • Strategic learning: Rare chance to sit in on strategy, understand market positioning, and learn how founders think about growth—without MBA tuition
  • Growth trajectory: Start as an EA, grow into someone who understands operations and strategy. That's a powerful combination for future roles
  • Autonomy: Own your domain fully. You'll have real responsibility, agency, and trust from day one
  • Scaling story: As we grow from 20 to 50+ people, the systems and processes you build now will be foundational. You'll see the impact
  • Flexibility: Remote, flexible hours (with reasonable founder overlap), early-stage energy and momentum

About Work Environment

  • Timezone: India-based or flexible to Indian timezone working hours
  • Communication style: Direct, candid feedback. We prefer honesty over politeness
  • Work cadence: Flexible hours with reasonable founder overlap; occasional early mornings or late evenings for critical work
  • Remote tools: You're self-sufficient in async communication and video calls
