Role Description

This is a full-time on-site role located in Bandra for an Executive Assistant in the Founders Office at Bottomline Media Pvt Ltd. The Executive Assistant will be responsible for providing high-level administrative support to the Founder, managing schedules, calendars, and correspondence. The role involves coordinating meetings, preparing presentations, handling confidential information, and maintaining smooth communication between the executive team and other departments. The Executive Assistant will also oversee special projects, ensure timely follow-ups, and assist with strategic and operational tasks.


Qualifications

  • Strong organizational skills, time management abilities, and attention to detail
  • Proficiency in communication, presentation preparation, and correspondence handling
  • Experience with calendar management, scheduling, and meeting coordination
  • Professionalism in handling confidential information and maintaining discretion
  • Problem-solving mindset, ability to multitask, and prioritization skills
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant tools
  • Previous experience as an Executive Assistant or in a similar administrative role is preferred
  • Bachelor's degree in a relevant field or equivalent experience


Key Responsibilities

  • Act as a strategic partner to the Founder, managing priorities, schedules, and day-to-day operations in a fast-paced environment
  • Own end-to-end calendar management, meeting coordination, follow-ups, and deadline tracking
  • Work closely with the Founder to translate ideas, vision, and strategy into structured plans, presentations, and written documentation
  • Prepare high-quality presentations, decks, reports, and briefs for internal and external stakeholders
  • Support strategic initiatives by organizing information, tracking action items, and ensuring timely execution
  • Manage communication flow, ensuring critical information is prioritized and addressed promptly
  • Bring order to ambiguity by managing multiple workstreams simultaneously and proactively solving problems
  • Anticipate needs, flag risks, and ensure nothing falls through the cracks

Qualifications & Experience

  • Bachelor’s degree in Business Administration (BBA); MBA preferred
  • 3–6+ years of experience as an Executive Assistant, Chief of Staff, or similar role supporting senior leadership/founders
  • Proven experience working in a high-paced, dynamic environment (startups, media, consulting, or founder-led organizations preferred)
  • Strong ability to handle ambiguity, shifting priorities, and tight timelines with composure
  • Excellent written and verbal communication skills, with the ability to convert ideas into clear, structured outputs
  • High proficiency in presentations (PowerPoint/Google Slides) and documentation
  • Exceptional organizational skills with strong attention to detail
  • High ownership mindset, discretion, and ability to work closely with leadership
