  1. About the Role

Be the operational anchor of the CEO’s office — owning the calendar, coordination and follow-through that keep the CEO’s time and commitments dependable. NewVision delivers value to its clients, partners, associates, and leaders as a Digital Consulting and Services firm. This role exists to make the CEO’s day run cleanly and predictably, to keep senior and external stakeholders coordinated, and to ensure nothing committed is dropped — quietly, reliably and with complete discretion.

  1. Key Responsibilities
  • Calendar & scheduling – own the CEO’s calendar end to end across IST and US time zones, resolving conflicts before they reach the CEO.
  • Stakeholder coordination – coordinate scheduling and logistics with CxOs, clients, and external partners.
  • Actions tracking – capture commitments, chase owners and maintain a current view of what is outstanding for the CEO and Chief of Staff.
  • Travel & itinerary – plan and manage travel and itineraries end to end.
  • Expenses – handle expenses and reimbursements accurately and on time.
  • Executive Support – take on other administrative or on-off projects for CEO’s office like document preparation, research, or event coordination.
  1. Outcomes Owned

A reliably managed CEO schedule, coordinated stakeholders, and commitments tracked to closure — so the CEO’s time is protected, and the office’s follow-through is dependable.

  1. Must-Have
  • 3–6 years supporting senior leaders (Director/VP and above).
  • Experience coordinating across time zones and cultures.
  • Proven ability to manage a demanding, fast-changing calendar under pressure, with sound prioritisation.
  • Strong written English and professional poise with senior, external stakeholders.
  • Absolute discretion is non-negotiable in this seat.
  • Comfort with variable hours and occasional US-time zone overlap.
  • Graduate / post-graduate in any discipline.
  1. Good-to-Have
  • Exposure to IT services or consulting.
  • Experience supporting a C-level leader.
  • Familiarity with modern calendar and collaboration tooling.
  1. Skills, Tools & Certifications

Technical & tools: Calendar and scheduling management, MS Outlook, meeting and travel coordination, expense and reimbursement tools, document and presentation preparation (MS Office); strong written and verbal communication, stakeholder management and the discretion to handle sensitive information.

  1. What We Value
  • Discretion and trustworthiness above all.
  • Anticipation – resolving problems before they surface.
  • Calm under a shifting, high-tempo schedule.
  • Reliability and follow-through on every commitment.
  • Adaptability across varied tasks and stakeholders.
  1. Recruitment & Screening Scorecard
  2. Target candidate profile — looking for:
  • A reliable operator who owns the CEO's calendar and coordination outcomes, not just tasks.
  • Sound judgment and anticipation, spots and resolves conflicts before they surface.
  • Comfortable with senior stakeholders, cross-cultural and cross-timezone coordination, and ambiguity.
  • Discreet by temperament can be trusted instinctively with sensitive information.
