Job Description

The corporate office of Express Employment International is seeking a highly organized, resourceful, and proactive Executive Assistant to provide strategic support to the Executive Vice President of Operations and the Chief Financial Officer. Reporting directly to the Director of Special Projects, this role serves as a key member of the executive support team that delivers high-level assistance to executives and other leadership team members.

As a trusted partner to senior leadership, you will help ensure priorities move forward efficiently while enabling the executives to focus on critical business initiatives. The ideal candidate anticipates needs before they arise and approaches complex challenges with professionalism, discretion, and sound judgment.

This position sits within our Oklahoma City based corporate office, currently with an expectation to be onsite five days per week

Responsibilities

  • Executive Calendar & Priority Management Manage complex calendars for members of the Executive Leadership Team, including prioritizing competing commitments, coordinating internal and external meetings across time zones, preparing agendas, and ensuring alignment with executive priorities and strategic initiatives.
  • Executive Communications & Stakeholder Management Serve as the primary point of contact and gatekeeper for executives. Screen and prioritize incoming calls, emails, and meeting requests while managing interactions with senior leaders, employees, and external stakeholders with professionalism and discretion.
  • Document Preparation & Executive Materials Prepare, edit, proofread, and distribute high-quality and confidential correspondence, presentations, reports, executive summaries, HR documentation, financial briefings, and PowerPoint presentations with exceptional attention to detail.
  • Meeting & Event Coordination Plan and support high-level meetings, committees, and events (e.g., board finance/audit sessions, HR leadership meetings, earnings calls, town halls, and executive off-sites). Coordinate logistics, room setup, technology, agendas, note-taking, action-item tracking, and distribution of follow-up materials.
  • Confidential Information Management Handle highly sensitive information with strict confidentiality, including employee relations matters, compensation and performance discussions, organizational changes, financial data, contracts, and executive communications in accordance with company policies and data privacy standards.
  • Project & Operational Support Manage special projects and administrative initiatives as assigned, including coordinating cross-functional workflows, tracking critical deadlines (budget cycles, talent reviews, compliance requirements), supporting executive-led programs, and assisting with operational improvements.
  • Administrative & Organizational Support Provide proactive, anticipatory support to streamline executive workflows. Maintain organized digital and physical filing systems, manage expense reports and reimbursements, coordinate PTO, travel and office logistics, order supplies, and serve as a liaison between the executives, their leadership teams, and other departments.

Education & Experience Qualifications

  • Bachelor’s degree in Business Administration, Human Resources, Communications, or a related field preferred
  • Equivalent combination of education and relevant executive administrative experience may be considered
  • 5 – 8+ years of progressively responsible administrative experience, including direct support of senior executives (VP level or above)

Knowledge, Skills, Or Abilities

  • Understanding of executive-level administrative practices and office operations
  • Working knowledge of human resources functions such as employee relations, organizational structure, and talent review cycles
  • Awareness of financial operations, including budgeting cycles, financial reporting timelines, and audit preparation
  • Understanding of confidentiality standards, privacy requirements, and data protection protocols
  • Familiarity with executive meeting logistics and event coordination
  • Knowledge of project coordination methods and workflow tracking processes
  • Proficiency with business communication standards for executive correspondence and reports
  • Working knowledge of office productivity platforms such as Microsoft 365, Outlook, Teams, PowerPoint, Excel, and SharePoint
