Title: Events & Volunteer Coordinator

Job Status: Full time, hourly

Compensation: $19-$22/hour

Reports to: Community Engagement Manager

Location: kidSTREAM Children’s Museum, 3100 E. Ponderosa Drive, Camarillo, CA 93010

Summary

kidSTREAM, an emerging Children’s Museum, is seeking a collaborative and detail-oriented Events & Volunteer Coordinator to help us fulfill our mission of learning through play. The Events and Volunteer Coordinator ensures a high-quality guest experience for children and families participating in kidSTREAM’s educational programs and community events. Working collaboratively across departments, this role coordinates logistics and provides administrative support to ensure that kidSTREAM programs and events are well-organized, appropriately marketed, and effectively supported. This role also recruits, trains, and supports volunteers who assist with program and event delivery. The ideal candidate is a highly-organized professional skilled at working across teams, with a background in event planning or community programming, experience with managing volunteers, and a commitment to making play-based learning accessible for all.

Key Responsibilities

Program & Event Coordination (40%)

Serve as the primary logistics coordinator for programs and events, ensuring smooth execution and cross-departmental communication

Manage administrative tasks for programs and events, including creating registration webpages, managing ticketing systems, and tracking attendance and revenue

Create and maintain standard templates and procedures for program and event planning, i.e., vendor contracts, equipment or staffing requests, etc.

Partner with the Education Supervisor to ensure educational content for programs is properly supported and resourced

Collaborate with the Marketing team to ensure programs and events are accurately promoted through appropriate channels

Coordinate with Exhibits & Facilities team to secure required equipment, room setups, and exhibit functionality

Work with the Finance team to prepare contracts, process paperwork, and secure payments for vendors, performers, and program partners

Perform other cross-departmental coordination as needed (janitorial, front desk team, etc.) to ensure programs and events are fully supported

Leadership & Volunteer Management (40%)

Supervise and manage one (1) part-time Event Assistant to ensure effective program and event coordination

Recruit, train, schedule, and supervise a team of volunteers to support educational programming and special events

Partner with the Education Supervisor to match volunteers to appropriate roles based on skills, interests, and program needs

Supervise and support volunteers during programs and events to ensure a positive, safe, and effective experience

Maintain accurate volunteer records, including contact information, training status, availability, and service hours

Manage volunteer communications, including maintaining mailing lists and distributing information about volunteer opportunities, trainings, and professional development

Data & Evaluation (20%)

Work with the Community Engagement Manager to develop and track metrics for program success and volunteer engagement

Contribute to monthly reports on program outcomes, attendance, volunteer participation, and progress toward established goals

Use data and observation to refine programs operations and volunteer management

Requirements

Qualifications

High school diploma or equivalent required

Minimum of 2 years of experience in a customer-facing role (working directly with families or the general public to deliver services)

Proficiency with registration platforms, databases, and common office software (e.g., Google Workspace, Microsoft Office, or similar tools)

Strong organizational and project management skills with the ability to manage multiple programs and deadlines simultaneously

Excellent written and verbal communication skills, with the ability to work effectively across departments and with diverse audiences

Ability to work weekends, evenings, and holidays

Valid driver's license and ability to pass a background check required

Preferred Skills

Bachelor’s degree in a related field or equivalent combination of education and experience

Experience in event coordination, with responsibility for logistics, scheduling, and event execution

Experience managing volunteers or guest-facing teams, including recruitment, training, scheduling, and supervision

Experience working in a children’s museum or informal learning environment, nonprofit, or other community-based organization

Familiarity with ticketing, CRM, or volunteer management systems

Bilingual (Spanish/English) applicants are strongly encouraged to apply

Ability to lift up to 40 lbs and participate in setup and takedown of materials and equipment
