The Crewing Executive is responsible for supporting the crewing department in day-to-day operations related to crew planning, documentation, travel arrangements, and compliance. The role ensures smooth coordination of crew changes, proper maintenance of seafarer records, and adherence to company policies, flag state, and international maritime regulations. The Crewing Executive works under the guidance of the Crewing Manager to ensure vessels are manned efficiently and effectively.


Duties and Responsibilities


Crew Management and Planning

  • Assist in scheduling crew sign-on and sign-off, ensuring timely crew changes.
  • Maintain and update crew rotation plans in line with operational requirements.
  • Coordinate with manning agents and ensure crew availability as per vessel needs.


Documentation and Compliance

  • Maintain up-to-date crew certification records and monitor certificate validity.
  • Ensure all seafarers have valid documents (STCW, flag endorsements, medicals, visas, passports) before joining.
  • Prepare and update crew lists, reports, and crew matrix as required by charterers, port state, and flag state authorities.


Recruitment and Selection Support


  • Assist in verifying crew documents and credentials during recruitment.
  • Maintain crew database and pool records for future requirements.
  • Coordinate interviews, assessments, and medical examinations.


Travel and Logistics


  • Arrange travel, visas, and accommodation for joining and off-signing crew.
  • Coordinate with travel agents and ensure cost-effective logistics solutions.
  • Monitor crew movements and provide updates to relevant stakeholders.


Crew Welfare and Communication


  • Act as a point of contact for crew queries related to travel, documentation, and joining formalities.
  • Support crew welfare initiatives in line with MLC 2006.
  • Liaise with ships, manning agents, and internal departments for smooth operations.


Administrative Support


  • Prepare regular reports on crew status and activities for management.
  • Assist in payroll data collection and verification of crew wages and allotments.
  • Support audits, inspections, and compliance checks as required.
