Job Description

Job Purpose

Support the preparation and submission of high-quality, compliant bid and proposal responses for public and private sector opportunities, representing the Fusion5 brand appropriately.

Assist in coordinating bid activities, managing proposal content and supporting AI-assisted drafting within governed processes to ensure submissions meet procurement, quality and presentation standards expected of a systems integrator and solutions implementation provider.

Support the tender / proposal response process by coordinating inputs, tracking timelines and assisting with documentation to ensure timely submission of compliant proposals.

Provide support to Sales and Pre-Sales teams with proposal documentation, presentations and supporting materials.

Maintain relevant information in CRM systems to enable effective collaboration across teams.

Key AccountabilitiesBid Coordination & Planning

• Support preparation and submission of proposals and tender responses in collaboration with pre-sales teams and internal subject matter experts.

• Coordinate inputs from sales, solution architects, consultants and delivery teams.

• Assist in preparing bid timelines, task allocations and review schedules.

• Track progress against milestones and follow up with contributors to ensure deadlines are met.

• Ensure proposal documents are proofread, accurate and updated.

Key AccountabilitiesBid Compliance & Documentation

• Support compliance with tender and RFP requirements including:

  • mandatory requirements
  • response formats and schedules
  • word/page limits
  • attachments and declarations

• Maintain compliance matrices or requirement trackers for proposals.

• Support structured and probity-safe handling of bid documentation.

Quality Assurance & Document Production

• Assist with proofreading, formatting and consistency checks of proposal content.

• Apply strong formatting skills in Microsoft Word and PowerPoint to produce professional documents.

• Support final compilation of proposals including document packaging and portal submissions.

Knowledge & Content Management

• Maintain bid templates, reusable proposal content and style guides.

• Support management of structured bid content libraries including case studies, methodologies and solution descriptions.

• Assist with updating content for reuse in future proposals and AI-assisted workflows.

Opportunity Monitoring & Bid Intelligence

• Monitor tender portals and procurement websites for relevant opportunities.

• Share identified opportunities with sales and pre-sales stakeholders.

• Capture lessons learned and feedback from completed bids to support process improvement.

Sales & Pre-Sales Support

• Support creation and formatting of proposal presentations and sales materials.

• Assist with updating case studies, capability documents and corporate information.

• Provide documentation and research support during the sales and proposal process.

AI Assisted Content Development (Governed Use)

• Use approved AI tools to assist with drafting, summarising SME inputs and improving proposal content structure.

• Review AI-generated content to ensure accuracy, compliance and alignment with organisational messaging.

• Ensure all AI-assisted content is reviewed by subject matter experts before submission.

Experience

• Experience supporting bids, proposals or tenders in a professional services or technology environment.

• Strong organisational and time-management skills with the ability to manage multiple deadlines.

• High attention to detail and strong documentation skills.

• Advanced formatting skills in Microsoft Word and PowerPoint.

• Familiarity with CRM systems and tender portals is preferred.

• Exposure to AI tools used for drafting, editing or summarising content is advantageous.
