Job Title: Back Office Executive – Sales Support & Documentation

Location: Showroom

Industry: Luxury Bathware, Mosaics, Wallpapers & Tiles

Job Summary:

We are looking for a detail-oriented and proactive Back Office Executive to support our Sales Team with quotations, presentations, procurement coordination, and post-sales documentation. The candidate will work closely with sales executives to ensure smooth project execution from proposal stage to site coordination.

This role requires strong documentation skills, coordination ability, and understanding of project/site processes.

Key Responsibilities:

1. Quotation & Proposal Management

Prepare accurate and timely quotations as per sales team requirements.

Coordinate with vendors/suppliers for pricing and product details.

Maintain pricing sheets and update product rates regularly.

Ensure margin accuracy as per company guidelines.

2. Presentation Preparation

Create client presentations including product selections, specifications, mood boards, and BOQs.

Assist sales team in preparing customized proposals for architects and interior designers.

Maintain updated product catalogues and digital presentation folders.

3. Post-Sales Documentation

Prepare sales orders and maintain complete project documentation.

Track order confirmations, dispatch details, and payment follow-ups.

Maintain proper filing (physical & digital) of all project documents.

4. Site & Project Coordination

Stay updated about ongoing sites handled by the sales team.

Coordinate with site supervisors, contractors, and clients when required.

Assist in resolving site-related documentation or product queries.

Support procurement process for confirmed orders.

5. Procurement & Vendor Coordination

Place purchase orders with vendors.

Follow up for material availability and delivery timelines.

Coordinate logistics and ensure timely dispatch to site.

Required Skills & Qualifications:

Graduate in Commerce / Business Administration or related field.

2–4 years of experience in back office / sales coordination (preferably in interiors, tiles, bathware or building materials).

Strong knowledge of MS Excel, PowerPoint & basic ERP software.

Excellent documentation and coordination skills.

Good communication skills (written & verbal).

High attention to detail and ability to manage multiple projects simultaneously.

Pay: ₹18,000.00 - ₹20,000.00 per month
