About The Role
The Administrative Assistant at The Carter Center plays a vital role in supporting various operational functions within the organization. This position involves providing comprehensive administrative support to ensure the smooth functioning of office activities aligned with organizational policies and procedures. While reporting directly to the Chief Operating Officer, the Administrative Assistant will also extend support to other departments such as People Operations & Programs, Internal Communications, Education Programs, Events Services, and Facilities Services. The role requires a proactive individual capable of managing multiple priorities, coordinating schedules, handling correspondence, and facilitating logistical arrangements for meetings and events. The ideal candidate will possess strong organizational skills, attention to detail, and excellent communication abilities to contribute effectively to the organization’s mission-driven environment. This position offers flexibility with remote work options, requiring the incumbent to be adaptable and committed to maintaining high standards of administrative excellence.

Qualifications
- Bachelor’s degree or equivalent combination of high school diploma and five years of relevant administrative experience
- Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, and Excel
- Experience with collaboration tools such as OneDrive, Zoom, Teams, or similar platforms
- Strong written and verbal communication skills
- Exceptional organizational and time-management abilities
- Attention to detail and accuracy in work
- Good judgment and problem-solving skills
- Ability to work in a fast-paced environment and handle multiple priorities effectively
- Residency within the state of Georgia (for non-exempt employees)
- Current authorization to work in the United States for any employer
- Provide administrative support for general management, research activities, or specific programs as assigned
- Respond to incoming telephone calls and manage correspondence, including routine replies and preparation of responses
- Maintain and prioritize calendars, schedule meetings, and coordinate logistics for internal and external events
- Prepare reports, charts, and presentations, including scientific or programmatic documentation
- Handle logistical arrangements for meetings and special events, including preparing materials and managing technical support
- Manage records, invoices, and expense reports, ensuring accuracy and compliance with organizational policies
- Monitor and assist with budgets and grants, including expense tracking and reimbursements
- Coordinate travel arrangements and accommodations for staff and visitors
- Maintain and analyze databases and spreadsheets, generating reports as needed
- Organize and maintain physical and electronic files and documents
- Oversee office supplies inventory and procurement processes
- Supervise or provide guidance to support staff or interns when necessary
- Perform additional duties as assigned to support organizational objectives
