Administrative Assistant (Contract)

Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Summary

This position supports the US Immigration Team within the General Counsel and HR Legal department, performing critical administrative functions in a fast-paced, high-volume environment. The successful candidate will play an essential role in managing immigration case operations, ensuring timely processing of documentation, maintaining data integrity within case management systems, and coordinating with cross-functional teams to support immigration journeys for employees. This role requires exceptional organizational skills, meticulous attention to detail, and the ability to manage multiple priorities while maintaining accuracy in a dynamic legal operations setting. The position offers hands-on experience in sophisticated legal operations and provides exposure to immigration law processes and procedures.

Job Responsibilities

  • Process high-volume paper filings, including collating, copying, distributing for signature, scanning, and mailing hardcopy immigration documents
  • Troubleshoot printing issues to ensure uninterrupted workflow and timely case processing
  • Triage and escalate urgent immigration cases to appropriate teams based on priority and complexity
  • Track, accurately update, and confirm case status within case management software in real time
  • Run and analyze case status reports within case management tools to monitor workflow and identify trends
  • Conduct data audits and collaborate with stakeholders to ensure data integrity and accuracy
  • Provide additional project and task support as directed by team leadership
  • Maintain consistent productivity on routine daily, weekly, and monthly tasks while meeting established deadlines

Requirements

  • 1 or more years of overall professional experience
  • Experience building out and documenting processes, particularly using OneNote, with at least 1 year of experience
  • Experience working in high-volume operations with cross-functional teams for at least 1 year
  • Proficient in Microsoft Office tools including Outlook, Excel, Word, Teams, and OneNote with at least 1 year of experience
  • Must be available to work 100% onsite, five days per week
  • Bachelor's degree in any field required
  • High GPA preferred
  • Deep attention to detail with strong organizational and time management capabilities
  • Critical thinking skills with ability to navigate complex and sometimes ambiguous situations
  • Strong written and verbal communication skills
  • Sense of urgency with ability to prioritize and manage work accordingly
  • Ability to lift up to 20 pounds as needed

Additional Details

  • Location: Redmond, WA (Onsite)
  • Duration: 4 months
  • Pay Range*: $27.50 - $31 per hour
  • Weekly Schedule: 40 hours
  • Job Status: Non-Exempt
