Job Description
Key Responsibilities:
Expense Management –
Support planning and execution of internal and external events, including workshops, offsites, celebrations (in office and externally) coordinating venue bookings, catering, AV setup, and other logistics, as directed.
General Administrative Support-
Expense Management –
- Accurately support the processing and submission of expense claims & invoices for Client’s Directors in India using Client’s system in accordance with Client’s financial policies and documentation standards, as directed.
- Coordinate with relevant team to support that invoices are shared timely and resolve discrepancies promptly, as directed.
- Assist team members with Client’s system (Certify) related queries and provide basic user guidance and coordinate with appropriate Client’s /Service Provider support channels.
- Act as the point of contact as designated by the Client’s India team on travel, liaising effectively with local and global travel partners, in coordination with the Service Provider where appropriate..
- Arrange domestic and international travel, accommodation, and ground transport for Client’s India Directors (and their team on adhoc basis if needed) and visitors, ensuring compliance with Client’s travel policy and budget approvals, as directed.
- Coordinate visa applications, travel insurance, and work with the respective team admin to support on the itinerary as needed.
- Support the preparation of travel-related reporting, including carbon footprint data, as required.

General Administrative Support-
- Maintain and update contact list, subscription list, Photo database & other records as required for the India office (in compliance with applicable policies of the Client), as directed.
- Work as a team in close collaboration with other Executive Assistants (Eas) and local office management to support smooth running of the office infrastructure, including assisting with high workloads and when there are absences, as directed and without supervisory authority over Client personnel.
- Provide support on adhoc administrative requests and projects as needed, and directed, and without assuming managerial or decision-making responsibilities
