Role Descriptor

DHL Express is looking for an Administration Executive to join and lead our team. He/she will be responsible to execute, coordinate and control the administrative functions in an effective and efficient manner by providing effective maintenance of office equipment, management of cargo liability claims and other related administrative duties.

Key Responsibilities

He/she will have to perform the following key activities:


  • DHL Staff
  • Provide administrative input and to coordinate supplies.
  • Provide administrative support in managing contractors.
  • Provide effective office support to maintain normal operation and replenishment of office equipment and supplies.
  • Head administration India:
  • Provide timely and accurate statistics and reports.
  • Suppliers and Vendors:
  • Liaise with suppliers in the event of office equipment breakdown.
  • Liaise with users and suppliers on delivery of office supplies.
  • Monitor and liaise with fuel companies on the issuance of corporate fuel cards to designated employees.
  • Contractors’ service level agreements are met.
  • Timely and effective resolutions to problems with minimum disruption to business.
  • Administration Team and Function Management:
  • Report on suppliers’ service quality and implement actions to correct the deviation in quality.
  • Ensure all administrative functions are efficiently and effectively managed.
  • Ensure all agreements and contracts are valid and current and to monitor expiry dates and recommend appropriate actions.
  • Proactively manage the administrative processes.
  • Recommend solutions on all administrative matters.
  • Participate in special projects and assist in all administrative matters.
  • Ensure policies and procedures are applied consistently throughout the company.
  • Maintain proper filing system, records and statistics related to general administrative functions.
  • Administer, file and analyses claims.
  • Timely and accurate provision of reports.
  • Accurate maintenance of records.
  • Incumbent has no direct reports and authority over country line and functional personnel.
  • He/she must be able to demonstrate ability to influence decisions/actions through provision of value-added inputs into the organization’s business processes.

  • Software skills (Word, Excel, PowerPoint, etc.)
  • Communication skills.

Profile Requirements


  • 5/8 years relevant experience.
  • Experience in IT/BPO related industry (preferable).
  • Graduation or diploma equivalent.
