Job Opening: Manager – Administration & Finance

  • About the Company
  • We are a design and architecture company specialising in hotels, resorts, large-scale residential developments, commercial projects, and mixed-use developments. We are looking for an experienced Administration & Finance Manager who can independently manage the company’s financial controls, taxation, statutory compliance, administration, and project-related documentation.


Key Responsibilities


Finance and Financial Control


  • Manage day-to-day accounting, financial records, payments, receivables, and cash-flow tracking.
  • Prepare project-wise budgets, expense statements, profitability reports, and management information reports.
  • Monitor project billing, consultant payments, vendor payments, professional fees, and outstanding receivables.
  • Establish and maintain internal financial controls, approval systems, and documentation processes.
  • Coordinate with chartered accountants, auditors, banks, financial institutions, and external consultants.
  • Assist management with financial planning, cost control, and periodic financial reviews.


Taxation and Statutory Compliance


  • Strong working knowledge of GST, TDS, income tax, professional tax, and other applicable statutory requirements.
  • Manage GST invoicing, input tax credit reconciliation, TDS deductions, and statutory payment schedules.
  • Coordinate the preparation and filing of GST returns, TDS returns, income-tax-related documents, and other regulatory filings.
  • Maintain proper records for audits, assessments, notices, and statutory inspections.
  • Ensure timely compliance with company, labour, and financial regulations.


Administration and Operations


  • Oversee general office administration, vendor management, procurement, contracts, employee records, and facility management.
  • Manage agreements, work orders, purchase orders, invoices, reimbursement claims, and administrative approvals.
  • Coordinate with architects, designers, project managers, consultants, clients, contractors, and government authorities.
  • Develop and maintain organised digital and physical documentation systems.
  • Support management in setting up administrative policies, standard operating procedures, and reporting formats.


Land and Project Documentation


  • Review and maintain land-related and project-related documentation.
  • Have a practical understanding of title documents, sale deeds, lease deeds, development agreements, joint-development agreements, powers of attorney, encumbrance certificates, revenue records, and property tax documents.
  • Coordinate with lawyers, landowners, developers, surveyors, liaison consultants, and registration authorities.
  • Maintain documentation relating to project approvals, licences, statutory permissions, and regulatory submissions.
  • Track documentation requirements for hotels, large residential developments, commercial projects, and mixed-use developments.


Candidate Profile


  • Bachelor’s or master’s degree in Commerce, Finance, Accounting, Business Administration, or a related discipline.
  • CA Inter, CMA Inter, MBA Finance, or a similar qualification would be an advantage.
  • 5–10 years of relevant experience in finance, administration, taxation, compliance, or project documentation.
  • Experience in an architecture firm, real-estate company, hotel development company, construction company, or project-management consultancy is preferred.
  • Strong understanding of GST, TDS, taxation, accounting systems, financial controls, and statutory compliance.
  • Familiarity with land, legal, and project documentation.
  • Proficiency in Tally, accounting software, Microsoft Excel, and financial reporting.
  • Strong organisational, communication, negotiation, and follow-up skills.
  • Ability to work independently, maintain confidentiality, and coordinate with multiple stakeholders.
  • Should be detail-oriented, dependable, commercially aware, and capable of taking complete ownership of the function.

  • We need a hands-on professional who can go beyond routine accounting and take responsibility for the company’s complete administration and financial-control function. The ideal candidate should be comfortable working closely with the promoters and senior management on financial, taxation, operational, land, and project-related matters.
