About the Role


The Accounts Payable Specialist is responsible for managing vendor payments and invoice processing to maintain the financial integrity of the organization's operations. This role ensures accurate reconciliation of invoices and payments, supports financial documentation, and facilitates communication with vendors and internal teams. It plays a key role in supporting the company's financial operations and continued growth in the luxury e-commerce market.



Responsibilities


  • Process and reconcile inventory invoices using 3-way matching in NetSuite
  • Upload and manage incoming invoices with all necessary supporting documentation
  • Investigate and resolve discrepancies between purchase orders and deliveries
  • Prepare payment runs using NetSuite and Transfermate
  • Process wire transfers and ACH transactions accurately
  • Verify and reconcile vendor statements to ensure accounts are current
  • Recover deposits from closed or quantity-changed line items
  • Respond promptly to vendor inquiries and resolve past-due invoice issues
  • Maintain professional communication with internal departments and stakeholders
  • Prepare and update internal accounts payable spreadsheets and financial files
  • Assist with month-end close procedures and support the broader accounting department



Requirements


  • Minimum 3 years of accounts payable experience
  • Proficiency with NetSuite or similar ERP systems
  • Strong proficiency in Microsoft Excel
  • Experience with payment processing systems and invoice reconciliation
  • Proven ability to perform 3-way matching for inventory
  • Dedicated home office setup including:
  • Computer with at least 8GB RAM and Intel i5 / AMD Ryzen 5 processor or higher
  • Internet speed of at least 40MBPS with a backup connection
  • Headset with noise-cancelling mic and webcam
  • Quiet, dedicated workspace



Compensation

  • $6.00 USD per hour
