Job Description
Unemployment Senior Associate will provide provides administrative and compliance support for unemployment claims management, employment verification requests, and state separation documentation. This role monitors unemployment and verification mailboxes, gathers documentation related to claims and employment history, and enters required information into the company’s unemployment vendor system.
The specialist works closely with internal branch teams and HR leadership to collect accurate information required for unemployment claim responses and separation documentation. This role also supports employment verification processes and assists with completion of National Medical Support forms as required. This position requires strong written communication skills, excellent attention to detail, and the ability to manage confidential employee information with accuracy and professionalism.

Unemployment Claims Administration
- Monitor the unemployment claims mailbox and track incoming claim notifications and requests for information.
- Gather necessary documentation and employment data from internal systems and branch teams.
- Enter claim information and documentation into the Thomas & Company unemployment vendor system.
- Ensure timely submission of claim responses to meet state deadlines.
- Maintain organized documentation related to unemployment claims.
- Escalate complex claims or disputes to HR leadership when appropriate.
- Prepare and complete state-specific separation forms as required.
- Gather termination details and employment history from Bullhorn and branch management teams.
- Verify accuracy of information prior to submission.
- Track and maintain documentation of completed separation forms.
- Responsible for managing VOE mailbox for incoming verification requests.
- Ensure requests are processed accurately and within required timeframes.
- Maintain documentation tracking completed requests
- Review and verify associate employment information in Bullhorn
- Submit employment verification information to Thomas & Company.
- Responsible for completing all incoming National Medical Support Notices.
- Gather required employee and employment information such as start & end dates, pay rate and reason for termination
- Complete and route documentation to appropriate internal teams or agencies.
- Maintain documentation records for compliance and tracking.
- Proficiency in Microsoft Excel (including pivot tables and VLOOKUP) and Outlook.
- Understanding of employment separation documentation, assignment end dates, and policy acknowledgments commonly used to respond to unemployment claims.
- 2+ years of administrative, HR, payroll, or unemployment claims experience, preferably within a staffing agency or high-volume workforce environment.
- Knowledge of US State Unemployment Insurance (SUI) processes, unemployment claims procedures, and employer response requirements is highly desirable
- Experience reviewing and responding to unemployment claims, including gathering documentation such as assignment records, termination reasons, and timesheets.
- Ability to communicate in English with state unemployment agencies and respond to claim inquiries within required deadlines.
- Experience preparing documentation and supporting unemployment claim appeals or hearings when required.
- Strong customer service and communication skills when interacting with employees, former associates, clients, and internal HR teams. Strong attention to detail with the ability to maintain accurate case files and confidential employee records.

- Bachelor’s Degree: Any Graduate
- Exp in unemployment claims procedures
- Strong customer service and communication skills
- Experience supporting U.S.-based HR processes is a plus
- preferably within a staffing agency or high-volume workforce environment.
