Reporting To: Head of Administration

Key Responsibilities

Transport Operations

• Plan, supervise, and monitor the daily operation of the school transport fleet.
• Prepare and optimize bus routes based on student requirements.
• Ensure timely arrival and departure of all school buses.
• Coordinate transportation arrangements for school events, field trips, examinations, and special programs.
• Monitor GPS tracking systems and resolve transport-related issues promptly.

Student Safety

• Ensure the safety and security of students during boarding, travel, and drop-off.
• Verify that all buses comply with school transport safety standards and government regulations.
• Conduct regular safety inspections of buses and transport facilities.
• Ensure every bus is equipped with first-aid kits, fire extinguishers, GPS devices, CCTV cameras, and emergency contact information.

Driver & Staff Management

• Supervise drivers, bus attendants, and transport support staff.
• Monitor attendance, punctuality, discipline, and performance of transport personnel.
• Conduct regular safety meetings and training sessions.
• Ensure all drivers possess valid licences, badges, permits, and statutory documents.

Vehicle Maintenance

• Schedule preventive maintenance and servicing of school vehicles.
• Maintain records of vehicle servicing, insurance, pollution certificates, permits, registrations, and fitness certificates.
• Coordinate with service providers to ensure minimal vehicle downtime.
• Conduct routine inspections to ensure buses remain roadworthy.

Parent & School Coordination

• Address transport-related queries and concerns from parents in a timely manner.
• Coordinate with the Head of Administration, Head of School, and Academic Team regarding transportation requirements.
• Communicate route changes, delays, and emergency updates to parents whenever necessary.

Documentation & Compliance

• Maintain transport records, student transport lists, driver details, vehicle documents, and daily trip logs.
• Ensure compliance with RTO regulations, school transport policies, and statutory safety requirements.
• Prepare periodic transport reports for the Administration Department.

Emergency Management

• Respond effectively to transport emergencies, accidents, vehicle breakdowns, and unforeseen situations.
• Coordinate emergency response procedures and maintain proper incident documentation.
• Conduct periodic emergency evacuation and safety drills.

Qualification Requirements

• Bachelor's Degree in any discipline.
• Minimum 3–5 years of experience in transport management, fleet operations, logistics, or school transportation.
• Experience in an educational institution will be preferred.
• Good command of spoken and written English and Telugu.
• Proficiency in MS Office (Word, Excel, Outlook).
• Strong organizational, coordination, and communication skills.
• Good knowledge of RTO regulations, vehicle documentation, and transport safety standards.
• Familiarity with GPS tracking systems and transport management software will be an added advantage.
• Ability to work under pressure and handle emergency situations effectively.
