Role Summary:

The Software Inventory Expert is responsible for managing, maintaining, and optimizing the organization’s software inventory and GSI (Global Software Inventory) data. This role ensures accurate tracking of software assets, compliance with licensing agreements, coordination across functional and business tracks, and alignment with internal governance requirements. The position plays a critical role in audit readiness, process efficiency, and software lifecycle management.


Key Responsibilities:

  • Maintain an accurate and up-to-date software inventory across the organization.
  • Own and manage GSI data updates by coordinating with internal functional tracks.
  • Coordinate with Business and GSO tracks to ensure timely and accurate updates in GSI.
  • Perform bi-annual audits of GSI data in coordination with Business and Technical Leads.
  • Act as an end-to-end lead for enhancements related to GSI, including requirement gathering, coordination, tracking, and closure.
  • Track software installations, usage, licenses, and entitlements.
  • Ensure compliance with software licensing agreements and internal policies.
  • Conduct regular software audits and support internal and external audit activities.
  • Analyze software usage data to identify optimization and cost-saving opportunities.
  • Coordinate with vendors, procurement, IT, PMO, and governance teams for software reviews and approvals.
  • Manage software requests, renewals, true-ups, and decommissioning activities.
  • Identify and mitigate risks related to unlicensed or non-compliant software.
  • Prepare reports, dashboards, and audit-ready documentation for stakeholders and leadership.
  • Support governance processes such as GSO, PMO, Security, and OCIO reviews when required.
  • Provide guidance to users and teams on approved software and compliance requirements.
  • Ensure adherence to BAU processes, SLAs, and operational standards.
  • Support operations in a 24×7 shift model.


Required Skills & Competencies

  • Strong knowledge of Software Asset Management (SAM) and IT Asset Management (ITAM) principles.
  • Hands-on experience with software inventory and discovery tools (e.g., ServiceNow, Flexera, Snow, SCCM, Tanium).
  • Good understanding of software licensing models (SaaS, subscription, per-user, per-device, enterprise agreements).
  • Strong data analysis, reporting, and documentation skills.
  • Ability to coordinate effectively across technical, business, and governance teams.
  • Strong communication and stakeholder management skills.
  • High attention to detail with a problem-solving mindset.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.


Qualifications

  • Bachelor’s degree in IT, Computer Science, Engineering, or a related field (preferred).
  • 3–6+ years of experience in software inventory, SAM, IT operations, or compliance roles.
  • Prior experience supporting audits, governance reviews, or enterprise inventory systems is highly desirable.
