Role Description The Senior Executive Documentation role is a full-time, on-site position based in Chandigarh. The individual in this role will manage end-to-end export and import documentation for ocean and air shipments, ensuring accuracy, completeness, and compliance with international trade regulations and company policies. Daily responsibilities include preparing bills of lading, commercial invoices, packing lists, and other shipping documents, coordinating with internal operations teams and external stakeholders such as carriers, agents, and customers, and updating shipment records in the company’s systems. The role also involves monitoring documentation timelines, resolving discrepancies, supporting audits, and maintaining up-to-date knowledge of regulatory requirements and client-specific documentation standards. The Senior Executive Documentation will contribute to process improvements and collaborate with team members to enhance efficiency and customer satisfaction.
Qualifications
  • Strong expertise in export/import documentation, including preparation of bills of lading, commercial invoices, packing lists, and compliance-related documents.
  • Good understanding of international logistics processes, Incoterms, customs procedures, and regulations governing ocean and air freight.
  • Proficiency with MS Office (Excel, Word) and logistics or ERP systems; ability to maintain accurate digital records and reports.
  • Excellent written and verbal communication skills, with attention to detail and the ability to identify and correct documentation errors.
  • Proven organizational and time-management skills, with the capacity to handle multiple shipments and tight deadlines.
  • Ability to work collaboratively with cross-functional teams and external partners, demonstrating professionalism and customer focus.
  • Relevant experience in freight forwarding, logistics, or shipping documentation; prior work in international trade or supply chain is an advantage.
  • Bachelor’s degree or equivalent qualification in logistics, supply chain, commerce, business administration, or a related field preferred.
