Job Description
The Role
As the Firm Coordinator, you are the "glue" that holds our ecosystem together. Your primary mission is to facilitate flawless communication between our clients, our internal teams, and external partners. You will ensure that from the moment a lead enters our system to the final handshake at closing, the process is efficient and professional.
Key Responsibilities
1. Client Relationship Management (CRM)
- Act as the primary point of contact for client inquiries, ensuring timely and professional responses.
- Guide clients through the administrative stages of buying, selling, or leasing.
- Collect and manage client feedback to continuously improve our service standards.
2. Internal Team Synchronization
- Coordinate schedules between agents, surveyors, legal teams, and marketing.
- Organize and facilitate weekly team meetings to track sales targets and project timelines.
- Maintain the internal database, ensuring all listing data and employee records are up-to-date.
3. Operational Logistics
- Oversee the documentation pipeline, ensuring contracts and disclosures are signed and filed correctly.
- Manage the "Front of House" experience, including coordinating property viewings and open house logistics.
- Liaise with vendors (photographers, stagers, and maintenance) to prepare properties for the market.
4. Administrative Support
- Draft formal correspondence, reports, and presentation materials for executive leadership.
- Monitor office supplies and coordinate with the finance department regarding basic invoicing and expense tracking.
Requirements & Qualifications
- Experience: 2+ years in a coordination or administrative role, preferably within real estate or hospitality.
- Communication: Exceptional verbal and written skills. You should be able to handle a high-pressure closing or a sensitive client call with equal grace.
- Tech-Savvy: Proficiency in CRM software (like Salesforce or HubSpot), Microsoft Office 365, and digital signature platforms (like DocuSign).
- Organization: A "Type A" level of attention to detail. You notice the typo everyone else missed.
- Adaptability: The real estate market moves fast; you must be comfortable pivoting priorities at a moment's notice.
