About The Job
Opella Digital is executing a multi-year transformation program (Butterfly: 56 programs, 205+ projects) supported by an integrated PMO & OCM unit. The tooling landscape underpinning this transformation — Planisware, Jira, Confluence, PowerBI, and the ELITEA, OpellaGPT AI platforms — has been designed and initially built by our implementation partner EPAM.
We are now internalizing this capability. The PMO & CMO Tools and Enablement Lead will act as the Product Owner and Project Manager of the full tooling ecosystem. You will not build the tools yourself — dedicated tech teams handle Planisware, Jira/Confluence, PowerBI, and OpellaGPT implementation. Your job is to gather requirements from all stakeholders across the Digital organization, translate them into actionable specifications, prioritize them, and project-manage their implementation by the right tech teams.
You are the bridge between business needs (what PMO, programme streams, OCM, and project teams need to see and do) and the technical teams that make it happen. You need a strong understanding of the underlying technology — not to code, but to know what’s possible, what’s feasible, and how systems connect. You think in data flows, integration patterns, and user requirements — then you drive delivery.
A defining requirement of this role is to be an AI champion. Beyond running the tooling ecosystem, you are expected to actively drive the conversion of manual, template-based, and legacy-tool ways of working toward AI-assisted and automated workflows — using OpellaGPT, ELITEA, and connected platforms — and to make AI and automation the default way the PMO and OCM operate. This expectation is weighted heavily in the recruitment process: candidates without a demonstrable AI-automation track record are not a fit.

Main Responsibilities
- Requirements Gathering & Product Ownership
- Act as the single Product Owner for the PMO & CMO tooling ecosystem — own the backlog, prioritize features, and define what gets built and in what order
- Gather and consolidate requirements from multiple stakeholder layers: PMO dashboards, Butterfly stream dashboards, OCM/change management needs, project-level dashboards, programme-level reporting, DLT/SteerCo views
- Translate business requirements into clear functional specifications and user stories that tech teams can implement
- Manage the requirements lifecycle: elicitation, documentation, validation, prioritization, change control
- Facilitate workshops and requirement sessions with stakeholders across PMO, OCM, programme streams, and leadership to understand their reporting, tracking, and tooling needs
- Maintain a prioritized product backlog for the tooling ecosystem — balancing competing demands from PMO, OCM, and programme stakeholders
- Define acceptance criteria and validate delivered solutions against requirements before release
- AI Enablement & Automation (Core Mandate)
- Champion AI and automation across the PMO and OCM — set the ambition, build momentum, demonstrate quick wins, and convert sceptics into adopters.
- Audit current ways of working and identify manual, template-based, and legacy-tool processes that are candidates for automation.
- Drive the conversion of those processes to AI-assisted and automated workflows using OpellaGPT, ELITEA, and connected tooling — automated reporting and status roll-ups, AI-enabled change analytics, document and template generation.
- Embed AI into standard operating practice rather than leaving it as an optional add-on; make automation the default, not the exception.
- Define and track AI-adoption and conversion metrics (e.g. share of manual reports automated, hours saved, adoption rates) and report progress to the Head of PM Practice.
- Stay ahead of emerging platform capabilities (OpellaGPT, ELITEA, PowerBI AI features) and translate them into practical improvements for the delivery and change teams.
- Project Management of Tooling Implementations
- Project-manage the implementation of requirements across multiple tech teams: Planisware team, Jira/Confluence team, PowerBI team, OpellaGPT/ELITEA team, and any future platform teams
- Coordinate delivery across tech teams — manage dependencies, timelines, and integration points between platforms
- Track delivery progress, manage risks and issues, escalate blockers, and ensure on-time delivery of tooling features
- Own the release management process — coordinate deployments across platforms, ensure regression testing, and manage rollout communication
- Manage the phased evolution of the reporting pipeline: from Phase 1 (manual) to Phase 2 (MCP/OpenAPI connectors) to Phase 3 (Planisware-Jira synchronization)
- Coordinate with the Solution Architect on technical feasibility, platform evolution roadmap, and integration architecture
- Data Architecture Understanding & Integration Design
- Understand where every datapoint lives across the ecosystem — Planisware (portfolio, schedules, budgets), Jira (project tracking, status), Confluence (governance), Snowflake (analytics), LMS (training completion), Veeva (content), knowledge platforms
- Design integration requirements: specify what data needs to flow between systems, in what direction, at what frequency, and in what format — then hand off to tech teams for implementation
- Understand the three-layer reporting architecture: Data Layer → Orchestration Layer (ELITEA/OpellaGPT) → Presentation Layer (dashboards, PowerBI, Confluence) — and ensure requirements are correctly placed in the right layer
- Define data quality requirements and validation rules for the tooling ecosystem — ensure a consistent data baseline across the global portfolio
- Evaluate and recommend integration patterns (MCP connectors, OpenAPI, webhooks, ETL) based on technical feasibility and business priority
- Ensure portability of data pipelines and workflows to future platforms (OpellaGPT) as those platforms mature
- CMO Tooling — Requirements & Delivery
- Gather requirements from the OCM/Change team for the CMO tooling layer — understand what they need for change readiness tracking, adoption measurement, training management, and stakeholder engagement
- Understand enterprise Learning Management Systems (LMS), Veeva, and knowledge platforms at a functional level — know what data they produce and how to specify integrations with the reporting ecosystem
- Translate CMO requirements into specifications for the relevant tech teams (PowerBI for dashboards, Confluence for templates, OpellaGPT for AI-enabled change analytics)
- Project-manage the build of CMO tools: change saturation heatmaps, adoption dashboards, training completion tracking, readiness assessments — as specified by the Central Change Manager
- Ensure CMO data feeds into the existing PMO dashboards — change readiness metrics, training completion, and adoption data visible alongside delivery data
- Unlock the benefits of AI solutions for OCM (OpellaGPT) — gather requirements for AI-enabled change enablement, reporting, and analytics
- Stakeholder Management & Training
- Act as the primary interface between business stakeholders (PMO, OCM, programme streams, PMs) and the tech teams that implement tooling solutions
- Manage expectations across stakeholders — communicate priorities, timelines, trade-offs, and delivery status
- Train project teams on how to use PMO and CMO tools — where to find them, how to use them, how to submit data at stage gates (the OCM team owns the content; this role owns the tooling how-to)
- Develop self-service training materials: guides, video walkthroughs, quick-reference cards for both PMO and CMO tools
- Lead Communities of Practice sessions focused on tooling best practices and adoption
- Support new PM onboarding with tooling setup and orientation (coordinated with the Delivery Facilitation Lead)
- Continuous Improvement
- Continuously improve the tooling landscape based on user feedback, emerging platform capabilities (OpellaGPT, PowerBI, ELITEA), and evolving programme needs
- Monitor tool adoption rates and flag under-utilization to the Head of PM Practice
- Conduct periodic reviews of the tooling ecosystem with key stakeholders to identify gaps, redundancies, and improvement opportunities

About You
- 6+ years of experience in business analysis, project management, or product ownership in an enterprise IT/Digital environment
- Demonstrable track record of driving AI and automation adoption — converting manual, template-based, or legacy-tool processes into AI-assisted or automated workflows, with evidence of results. This is an essential, defining requirement of the role.
- Proven ability to gather, translate, and prioritize requirements from multiple business stakeholders with competing needs
- Experience project-managing implementations across multiple technical teams working on different platforms simultaneously
- Strong understanding of enterprise project/portfolio management tools (Planisware, Jira, Confluence, or equivalent) — not as a developer, but as someone who understands their capabilities, data models, and integration possibilities
- Ability to think in data flows and system integration — understand where datapoints live, how systems connect, and what’s technically feasible without being the one who codes it
- Good understanding of enterprise Learning Management Systems (LMS), Veeva, and knowledge platforms — at a functional level, not as a content creator
- Experience with reporting and BI tools (PowerBI, HTML dashboards, or similar) — understand what’s possible and specify requirements for BI teams
- Experience writing functional specifications, user stories, and acceptance criteria for technical teams
- Strong stakeholder management skills — ability to facilitate workshops, manage expectations, and communicate trade-offs across business and technical audiences
- Ability to train non-technical users on enterprise tools — create training materials, deliver sessions, provide ongoing support
- Comfortable working across time zones with distributed teams (India, Paris, Barcelona, global)
- Fluent English (written and spoken) — all documentation and training materials are in English
- Experience working as Product Owner for an enterprise tooling or platform team
- Understanding of AI/ML platforms or agentic AI frameworks (OpellaGPT, LangChain, ELITEA, or equivalent) — at a functional level
- Experience specifying data integration requirements (MCP, OpenAPI, ETL, webhooks) for technical teams to implement
- Experience with Planisware-Jira integration or cross-platform synchronization projects
- Experience with Veeva Vault, Veeva CRM, or similar life sciences platforms

- Weeks 1-4: Shadow period with EPAM team — understand the current tooling landscape, data flows, platform capabilities, and stakeholder requirements
- Weeks 3-6: Begin gathering requirements independently; start building the product backlog; establish relationships with all tech teams
- Weeks 5-8: Take over project management of ongoing tooling implementations; begin CMO tooling requirements gathering with Brent (OCM Lead)
- Month 3+: Full autonomous ownership of the tooling backlog and delivery roadmap. EPAM engagement ends for tooling scope.
