Overview

Gallagher Center of Excellence (GCOE) is seeking to hire an Project/Operations Coordinator for the GCOE Business

Enablement vertical. The role will be part GCOE Business Enablement vertical and will be of dedicated support to

Gallagher Benefits Services , Other Global Division.

Gallagher Benefit Services US is looking for a dynamic Project/Operations Coordinator to support the delivery of our

comprehensive business strategy. In this role Provide high-level administrative and project coordination support to

enable the leaders to focus on strategic priorities. This role combines organizational efficiency with project delivery

oversight

How You'll Make An Impact

Responsibilities:

Admin Support

  • Diary & Meeting Management: Coordinate numerous calendars, prioritise meetings, and manage

scheduling (incl. across multiple time zones).

  • Travel & Event Logistics: Arrange travel, accommodation, and itineraries for conferences and

external engagements.

  • Inbox & Communication Management: Monitor emails, flag priorities, draft responses, and

manage follow-ups.

  • Document & Presentation Preparation: Create draft decks, format decks, collate reports, and

ensure materials are ready for meetings and events.

  • Expenses: Process expense claim

Project Management Support

  • Project Planning & Tracking: Maintain timelines, milestones, and deliverables for EVP initiatives.
  • Governance & Reporting: Prepare status updates, dashboards, and risk/action logs for leadership

reviews as needed.

  • Cross-Functional Coordination: Liaise with internal teams and external partners to ensure

alignment.

  • Content & Research Support: Gather insights for propositions, conferences, and thought

leadership pieces.

  • Action Management: Track decisions and ensure timely completion of follow-up actions from

meetings

Skills & Attributes

  • Strong organisational and time management skills.
  • Excellent communication and stakeholder management.
  • Proficiency in Microsoft Office and project tracking tools.
  • Ability to manage competing priorities and work independently.
  • Discretion and professionalism in handling sensitive information.

About You

Qualifications:

EDUCATION

  • Minimum Required Degree: Bachelor’s /Master’s degree in Business Administration, Communications or related field, and 3-8 years professional experience.
  • Or Bachelor’s or Master’s degree / equivalent qualification in Project Management and a strong interest to transition to an operations management and coordination.

Experience ( Career Level Guide)

  • Experience: 3-8 years in relevant role
  • Oversee multiple programs, align with objectives, improve processes
  • Expert program management, strategic leadership, executive assistant
  • Strong technical skills across Microsoft Office Suite

KNOWLEDGE, SKILLS AND ABILITY:

  • Proven record of successful project management and executive assistant
  • Strong communication skills
  • Excellent time management and organizational skills
  • Experienced in creating scorecards, dashboards or other relevant reports
  • Experienced in creating plans and managing budgets
  • Experience in planning the leadership calendars.
  • Relevant industry experience.
