Role Description
This is a full-time, on-site role in the Grand Rapids Metropolitan Area for a Project Coordinator. The Project Coordinator will be responsible for overseeing the planning, scheduling, and execution of installation projects, ensuring they are completed efficiently and on time. Key responsibilities include coordinating with team members, scheduling client appointments, monitoring project progress, maintaining open communication with clients, and ensuring that quality and safety standards are met.
- Maintain Residential and Commercial Bid Log.
- Create customers, locations, and projects in Service Titan.
- Execute and submit AIA schedule of values, safety plan, contracts, etc.
- Obtain and process signed contracts, procure addendums and change orders, return copies as necessary and initiate deposit check for required projects.
- Create (along with Project Manager) and communicate project timelines.
- Facilitate plumbing or other trade subcontracts as needed per project.
- Monitors and reports on the progress of the project to all appropriate individuals during weekly project status meeting.
- Arrange Kick-Off meeting with leadership, PM, and Foreman if applicable.
- Track projects’ status as they launch, and labor is deployed.
- Minimizes company exposure and risk by preemptively identifying project issues.
- Assist Project Manager in identifying and implementing corrective actions when needed.
- Monthly reviews of project invoicing progress with PM and Accountant for AIA & Progressive billing as well as final invoices when projects are complete.
- Ensure project documents are complete, current, and stored appropriately.
- Assist customer service and management with issues and other tasks as they arise.
- Generate Close Out packet with all documents as required by customers and/or contracts.
Qualifications
- Possess strong analytical, organizational, communication, problem solving and decision-making skills.
- Technically inclined to understand and explain construction project /scopes of work.
- Must be able to function well under pressure in a consistently changing environment.
- Effective communication and interpersonal skills for collaborating with team members and clients.
- Adapts quickly to change, copes with pressures of time, responsibility, and workload effectively.
- Delivers commitments in a timely, efficient, and cost-effective manner to ensure results are achieved.
- Proficiency in project management tools and software, along with basic computer skills.
- Detail-oriented mindset with a focus on maintaining high-quality standards and safety procedures.
- Problem-solving skills and adaptability to address project-related challenges as they arise.
- Experience in the lawn or irrigation industry is an advantage but not required.
- High school diploma or equivalent; additional certifications in project management are beneficial.
- Basic understanding of irrigation systems, landscaping, and water conservation techniques is a plus.
- Experience with Service Titan FSM is a plus.
