Job Description

Role Purpose:



To provide comprehensive administrative and organizational support to the Director, ensuring smooth day-to-day operations, effective time management, and confidential handling of business and personal matters.



Key Responsibilities:



1. Administrative Support

 • Manage Director’s calendar, schedule appointments, and coordinate meetings.

 • Draft, review, and manage correspondence, reports, presentations, and documents.

 • Handle phone calls, emails, and inquiries promptly and professionally.

 • Organize and maintain office filing systems (physical and digital).



2. Meeting & Travel Management

 • Prepare meeting agendas, minutes, and follow-up actions.

 • Arrange domestic and international travel, including flights, visas, accommodation, and itineraries.

 • Coordinate logistics for events, conferences, and client meetings.



3. Communication & Liaison

 • Act as the point of contact between the Director and internal/external stakeholders.

 • Ensure smooth information flow and prioritize issues requiring the Director’s attention.

 • Handle confidential and sensitive information with discretion.



4. Project & Task Management

 • Support in monitoring project deadlines, deliverables, and progress updates.

 • Conduct research and prepare briefs for the Director.

 • Assist in coordination of business initiatives and strategic tasks.



5. Personal Assistance

 • Manage certain personal tasks for the Director (as required).

 • Support in personal appointments, travel, and other ad hoc requirements.

 • Strong organizational and multitasking abilities.

 • Excellent written and verbal communication.

 • High level of discretion and confidentiality.

 • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

 • Ability to prioritize and work under pressure.

 • Professional demeanor with strong interpersonal skills.



Qualifications & Experience:

 • Bachelor’s degree (preferred).

 • 3–7 years of experience as a PA/EA to senior management.

  •  • Experience in handling high-level executives’ schedules and confidential matters.
