About the Role
We are looking for a highly organized and detail-oriented Operations PMO Executive to join our influencer marketing agency. The individual will be responsible for streamlining operational workflows, ensuring smooth interdepartmental coordination, tracking project timelines, maintaining operational reports, and driving process efficiency across campaigns and internal operations.
The ideal candidate should possess strong coordination skills, analytical thinking, and the ability to manage multiple stakeholders in a fast-paced environment.
- Coordinate with internal teams including Campaign Management, Revenue, Planning, Procurement, Finance, and Talent teams to ensure smooth execution of campaigns and operational activities.
- Track ongoing campaigns, deliverables, timelines, and dependencies to ensure timely completion.
- Maintain project trackers, status reports, dashboards, and operational MIS reports on a daily/weekly basis.
- Ensure all campaign stages are updated and documented properly in internal systems.
- Monitor pending tasks and proactively follow up with stakeholders to avoid delays.
- Build and maintain standard operating procedures (SOPs) for operational processes.
- Identify process gaps, operational bottlenecks, and inefficiencies and suggest improvements.
- Ensure adherence to operational processes and reporting structures across teams.
- Assist leadership in implementing new workflows, tools, and operational frameworks.
- Coordinate cross-functional meetings and document MOMs (Minutes of Meeting) with actionable follow-ups.
- Prepare operational reports, performance dashboards, and business insights for management review.
- Analyze campaign data, team productivity, and operational metrics to improve efficiency.
- Maintain accurate records of campaign statuses, creator deliverables, client approvals, invoices, and operational dependencies.
- Support leadership with data-driven insights for operational planning and decision-making.
- Act as a bridge between different departments to ensure seamless communication and coordination.
- Work closely with campaign managers and finance teams to ensure timely invoicing and payment tracking.
- Coordinate with procurement and creator teams to track deliverables and closures.
- Ensure operational escalations are addressed promptly and resolved efficiently.
- Assist in resource allocation and workload management across operational teams.
- Ensure all internal trackers and documentation are updated accurately and on time.
- Support leadership in managing high-priority projects and strategic operational initiatives.
- Drive accountability and ownership among teams through proper follow-up and monitoring mechanisms.
- Bachelor’s degree in Business Administration, Management, Marketing, or a related field.
- 1–4 years of experience in PMO, operations, project coordination, or campaign operations, preferably in an influencer marketing or digital marketing agency.
- Strong understanding of operational workflows and project management practices.
- Excellent communication and stakeholder management skills.
- Strong analytical and problem-solving abilities.
- Advanced proficiency in Google Sheets, Microsoft Excel, and project management tools.
- Ability to multitask and manage multiple projects simultaneously.
- High attention to detail and strong organizational skills.
- Ability to work in a fast-paced and dynamic environment.
