About the Role
The Operations Administrator role is responsible for supporting operational functions to ensure timely execution of contracts, vendor management, lease coordination, and customer service. This position plays a critical role in maintaining relationships with internal teams and external partners while managing administrative tasks that help the organization operate efficiently. The role requires coordination across departments to support contracts, billing, credit approvals, and regulatory compliance, contributing directly to operational continuity and customer satisfaction.
Responsibilities
- Meet expectations and requirements of internal and external customers
- Establish and maintain effective customer relationships
- Assist contract review and approval by coordinating with sales, management, legal, and customers
- Facilitate credit approval process, including negotiation of additional credit requirements
- Obtain necessary documentation for vendor setup and compliance
- Manage lease extensions and negotiate rate increases
- Coordinate lease transfers between current and prospective lessees
- Facilitate federal and state permits and requirements for the region
- Prepare and execute lease extension documents
- Facilitate purchase of leased units for customers
- Prepare documentation for rental rate changes and ensure billing accuracy
- Obtain approvals and code invoices for payment
- Manage ReRent invoices and consolidation for the region
- Provide administrative support to sales, operations, and management
- Greet visitors and manage phone communications professionally
- Provide backup support for regional operations
- Maintain filing systems
- Assist with special projects, including process improvements
Qualifications
- Experience in customer service, high phone volume, administrative and clerical tasks
Required Skills
- Strong written and verbal communication skills
- Proven ability to deliver excellent customer service
- Strong work ethic, positive attitude, and professional demeanor
- Ability to perform well in a fast-paced environment
- Strong organizational skills and ability to manage multiple applications and processes
- Proficiency in Microsoft Word, Excel, and Outlook
- Ability to work collaboratively within a team
- Bilingual in Spanish is a plus
Pay range and compensation package
Pay rate and level will depend on the successful candidate's qualifications, prior experience, and location.
