Job Summary
The incumbent will be responsible for providing governance, oversight, and operational excellence for corporate office administration for India offices. This role will ensure that workplace services are safe, compliant, efficient, employee-focused, and aligned with business needs. Since the Bangalore office operates in a managed office environment, the role will focus less on day-to-day facility execution and more on governance, vendor performance, risk management, process discipline, stakeholder coordination, reporting, and continuous improvement.

Job Summary

- Administration, Governance and Policy Development (22%)
- Develop, document, and implement administration-related policies, SOPs, process maps, checklists, and escalation frameworks in close consultation with HR and other enabling functions.
- Create consistent operating standards for Bangalore while ensuring alignment with broader administration principles and any enterprise-level policy requirements.
- Establish governance routines for administration activities, including periodic reviews, issue tracking, risk reviews, and action closure monitoring.
- Ensure administration processes are aligned with company policies, employee experience expectations, compliance requirements, and business continuity needs.
- Compliance, Risk Management, and Controls (18%)
- Own and monitor administration-related compliance requirements for the Bangalore office, including statutory, workplace safety, building, vendor, access, transport, and managed office obligations where applicable.
- Maintain risk registers, compliance trackers, audit evidence, and action plans for administration and workplace operations.
- Partner with Legal, Risk, Security, HR, Procurement, and managed office providers to identify risks, implement mitigations, and ensure timely closure of gaps.
- Support internal audits, vendor audits, compliance reviews, and management reporting related to workplace operations.
- Vendor Management and Managed Office Oversight (16%)
- Manage relationships with Bangalore managed office providers and administration-related vendors.
- Track vendor performance against agreed service levels, contractual obligations, issue resolution timelines, and employee experience expectations.
- Conduct periodic business reviews with vendors, document minutes and action items, and ensure follow-through on agreed improvements.
- Coordinate with Procurement and Legal for vendor onboarding, renewals, service changes, commercial reviews, contract governance, and supplier risk requirements.
- Stakeholder Management and Cross-Functional Partnership (11%)
- Act as the administration point of contact for Bangalore leadership, HR, employees, managed office vendors, and enabling functions.
- Work closely with HR to align workplace policies, employee communications, onboarding support, employee safety initiatives, and people-related administration processes.
- Coordinate with IT for workplace infrastructure readiness, access requirements, meeting room technology, employee moves, and operational support dependencies.
- Build strong working relationships with internal and external stakeholders to ensure responsive, transparent, and well-governed administration services.
- Employee Safety, Security, and Workplace Experience (9%)
- Ensure employee safety and workplace readiness for the Bangalore office through effective coordination with managed office partners, security teams, HR, and business stakeholders.
- Oversee emergency preparedness, evacuation readiness, incident reporting, visitor management, access control coordination, and employee communication protocols.
- Monitor workplace experience standards covering cleanliness, seating, meeting rooms, amenities, pantry/cafeteria support, utilities, and general office upkeep, while ensuring service delivery is executed by the managed office vendor.
- Act as an escalation point for workplace issues and drive structured resolution with appropriate ownership and timelines.
- People Management (8%)
- Provide leadership, direction, and oversight to direct reports, indirect team members, and workplace support resources supporting administration and workplace operations.
- Manage relationships and performance of outsourced personnel, managed office teams, service providers, and vendor resources supporting workplace services.
- Establish clear goals, responsibilities, service expectations, and accountability mechanisms across internal and external teams.
- Conduct regular performance reviews, governance reviews, and feedback discussions with team members and service partners to drive service excellence and continuous improvement.
- Support hiring, onboarding, capability development, coaching, succession planning, and workforce planning activities where applicable.
- Ensure effective deployment of resources, workload balancing, and alignment of team priorities to business and operational requirements.
- Foster collaboration across teams, vendors, and stakeholders to improve responsiveness, problem resolution, employee experience, and operational effectiveness.
- Act as the escalation point for team performance issues, service delivery concerns, resource constraints, and workplace operational challenges.
- Admin-Related Procurement and Cost Governance (6%)
- Support admin-related procurement activities including requirement definition, vendor coordination, quote comparison, purchase requisitions, invoice validation, and budget tracking.
- Partner with Procurement and Finance to ensure spend governance, approval discipline, cost optimization, and compliance with procurement processes.
- Monitor recurring administration spends and identify opportunities for consolidation, standardization, and better value from vendors.
- MIS, Reporting, and Data Discipline (5%)
- Develop and maintain regular MIS dashboards and reports for administration operations, vendor performance, compliance status, risk items, workplace issues, project progress, employee service requests, and cost trends.
- Use reporting to highlight risks, recurring issues, service gaps, improvement opportunities, and leadership decisions required.
- Maintain accurate records, trackers, documentation repositories, and evidence for administration activities and audits.
- Create standard reporting cadences for leadership, HR, Finance, Procurement, and other stakeholders as required.
- Projects, Office Changes, and Continuous Improvement (3%)
- Plan and execute administration and workplace projects such as office expansions, seating changes, floor readiness, employee moves, workplace enhancements, storage solutions, and employee service improvements.
- Support new initiatives in Bangalore by coordinating with managed office providers, IT, HR, Procurement, Finance, Security, and business teams.
- Identify opportunities to simplify processes, improve employee experience, strengthen controls, reduce operational risk, and optimize cost.
- Maintain structured project plans, stakeholder updates, risk logs, and post-implementation reviews for key initiatives.
- Sustainability and Responsible Workplace Practices (2%)
- Drive sustainability initiatives relevant to managed office environments, including waste reduction, energy awareness, responsible consumption, paper-light operations, and vendor-supported environmental practices.
- Work with managed office partners to obtain relevant sustainability data, certifications, consumption trends, and improvement opportunities where available.
- Promote employee awareness and participation in workplace sustainability initiatives in partnership with HR and Communications.

- Preferred Education: Postgraduate qualification in business administration, facilities management, real estate, operations, or related field
- Required Experience:
- 12–15 years of experience in corporate administration, workplace operations, facilities governance, corporate real estate operations, or similar roles.
- Experience managing corporate office operations, preferably in managed office, co-working, or outsourced facility environments.
- Experience creating policies, SOPs, dashboards, governance routines, and management reports.
