Job Description
Primary Purpose of Role
- The IT Contract Management Analyst is responsible for the administration, tracking, planning, and proactive management of the organization's IT vendor contracts, software licensing agreements, maintenance agreements, subscription services, and technology-related commercial commitments.
- This role serves as the central point of coordination for IT contract lifecycle management, ensuring contracts are renewed, renegotiated, or terminated in a timely and strategic manner. The position works closely with IT leadership, technical subject matter experts, Procurement, Legal, Finance, and external vendors to support contract renewals, budgeting activities, and risk management initiatives.
- The IT Contracts Analyst is accountable for maintaining contract inventories (Contracts Management Tool), monitoring renewal timelines, facilitating vendor engagement, coordinating internal approvals, and ensuring contractual obligations align with business, operational, financial, and compliance requirements.
Key Responsibilities
Contract Lifecycle Management - Contract Administration & Tracking
- Maintain a comprehensive inventory of all IT contracts, software subscriptions, maintenance agreements, cloud services agreements, licensing agreements, and technology vendor relationships.
- Establish and maintain contract repositories, renewal calendars, and tracking mechanisms to ensure complete visibility into contract status and key milestones.
- Monitor contract expiration dates, renewal clauses, notice periods, pricing changes, and contractual obligations.
- Ensure contract records, documentation, amendments, statements of work (SOWs), and supporting materials are accurately maintained and readily accessible.
- Develop reporting and dashboards that provide visibility into upcoming renewals, contract risks, spend commitments, and vendor performance.
Renewal Planning & Execution
- Develop proactive renewal plans for all IT contracts based on contract expiration and notification requirements.
- Establish renewal timelines and coordinate activities to ensure adequate lead time for evaluations, budgeting, negotiations, approvals, and execution.
- Drive renewal activities from initiation through contract execution while minimizing business disruption and service risk.
Cross-Functional Coordination & Stakeholder Management
Business & Technical Collaboration
- Partner with IT leaders, application owners, infrastructure teams, cybersecurity teams, enterprise architecture, and business stakeholders to evaluate ongoing technology needs.
- Coordinate with technical subject matter experts to assess vendor performance, service quality, utilization, licensing requirements, and future business demands.
- Facilitate contract review discussions and renewal planning meetings with key stakeholders.
- Gather technical, operational, and business requirements needed to support contract renewals and procurement activities.
- Ensure stakeholder alignment regarding renewal decisions, vendor selection, contract modifications, and service requirements.
Procurement & Legal Coordination
- Collaborate closely with Procurement teams to support sourcing, competitive bidding, contract renewals, and vendor negotiations.
- Coordinate contract review activities with Legal to ensure contractual terms, risks, obligations, and compliance requirements are appropriately addressed.
- Support contract redlining, revisions, approvals, and execution processes.
- Track internal approvals and ensure compliance with procurement and contracting policies.
Vendor Management & Commercial Support (20%)
Vendor Engagement
- Serve as contact for vendors regarding contract renewals, pricing requests and licensing inquiries.
- Coordinate vendor meetings, renewal discussions, and contract review sessions.
- Obtain pricing proposals, renewal quotes, product information, and supporting documentation from vendors.
- Facilitate communication between vendors and internal stakeholders throughout the contract lifecycle.
Financial Planning & Contract Governance
Budget & Spend Management
- Support annual IT budgeting and forecasting activities by providing contract renewal projections and vendor spend analysis.
- Track contract-related expenditures and upcoming financial commitments.
- Identify potential budget impacts associated with renewals, service changes, and vendor pricing adjustments.
- Assist IT leadership in developing accurate financial forecasts related to vendor contracts.
Governance & Compliance
- Ensure contract management processes comply with organizational policies, procurement standards, audit requirements, and governance practices.
- Support internal and external audit activities related to IT contracts and vendor management.
- Maintain documentation supporting compliance, approvals, and contractual obligations.
- Assist in identifying and mitigating contractual, financial, and operational risks.

Experience & Qualifications
Required
- Bachelor’s degree in business administration, Information Technology, Finance, or a related field, or equivalent combination of education and experience.
- 3–5 years of experience in contract administration, procurement, vendor management, IT asset management, contract lifecycle management, or a related business function.
- Experience managing or supporting technology contracts, software licensing agreements, SaaS subscriptions, cloud service agreements, and vendor renewals.
- Experience coordinating with cross-functional teams including IT, Procurement, Legal, Finance, and business stakeholders.
- Experience maintaining contract repositories, renewal calendars, and contract management systems.
- Strong understanding of contract terms, renewal processes, procurement workflows, and vendor management practices.
- Experience gathering vendor quotes, supporting sourcing activities, and coordinating contract reviews.
- Strong analytical, organizational, project management, and communication skills.
- Ability to manage multiple contracts, deadlines, and priorities simultaneously.
Preferred Experience
- Experience working within enterprise IT organizations.
- Experience supporting software licensing, cloud services, infrastructure, cybersecurity, telecommunications, or managed service contracts.
- Knowledge of software licensing models and SaaS subscription management.
- Experience supporting vendor negotiations and strategic sourcing initiatives.
- Experience working in regulated or publicly traded organizations with audit and compliance requirements.
