XDS Solutions is a fast-growing international product compliance, testing, inspection, and certification organisation operating across the UK, Middle East, Asia, and other global markets. We work with brands, manufacturers, and retailers worldwide, supporting regulatory compliance and market access across multiple jurisdictions.
As we continue expanding internationally, we are hiring a highly organised and detail-oriented People Operations & Administration Executive based in India to support our global team.
This is a hands-on operational and administrative position focused on employee coordination, systems administration, recruitment coordination, travel management, and internal process support.
You will work closely with our Head of Finance and leadership team while interacting with employees and stakeholders across multiple countries.
You will act as a central coordination point for internal people operations and administrative processes across the organisation. The role requires strong organisational ability, comfort working with HR platforms, and the ability to manage structured workflows with accuracy.
Key Responsibilities
People Operations & Systems Administration
- Administration of global employment platforms (e.g. with Deel, Rippling, or similar tools)
- Maintaining employee records, documentation, and internal databases
- Coordinating onboarding and offboarding processes
- Preparing employment letters, documents, and templates
Recruitment & Hiring Coordination
- Posting job advertisements across relevant platforms
- Coordinating with hiring managers on role requirements
- Screening and sifting candidate applications
- Scheduling interviews and managing candidate communication
- Maintaining organised recruitment trackers and records
Employee Lifecycle & Policy Support
- Supporting new joiner processes (documentation, systems access, coordination)
- Managing exit procedures and internal clearances
- Assisting with drafting, formatting, and maintaining company policies
- Ensuring consistency of internal documentation and processes
Travel & Logistics Coordination
- Managing flight and hotel bookings for employees
- Coordinating travel approvals and schedules
- Supporting visa or documentation requirements where applicable
- Monitoring travel costs and maintaining records
Expense & Administrative Control
- Tracking employee expense submissions
- Verifying documentation and policy compliance
- Coordinating with Finance for reimbursements
- Maintaining structured expense records
General Operational & Administrative Support
- Supporting cross-office administrative workflows
- Assisting with internal coordination and communications
- Maintaining organised records and trackers
- Providing structured operational support to leadership as required
Ideal Candidate Profile
This role is best suited to someone with a strong operations, administration, coordination, or back-office background rather than purely academic HR experience.

- Comfortable working with online systems and SaaS tools
- Detail-oriented with strong accuracy
- Proactive and reliable
- Clear and professional in written English
- Comfortable handling structured recruitment processes

- Employment or payroll platforms (Deel, Rippling, Remote, etc.)
- Travel coordination or booking responsibilities
- Expense tracking or finance-related administration
- Policy documentation or structured record management
