Arham Share Private Limited is hiring an HR & Administration Executive – Front Desk for its Surat office.

📍 Location: Surat

📅 Experience: 1–3 years in HR administration, front desk, office coordination, or a similar role

Role Overview

We are looking for a responsible, organised, and presentable professional to manage front-desk operations while supporting day-to-day HR and administrative activities. The candidate will serve as the first point of contact for employees, visitors, vendors, and external stakeholders.

Key Responsibilities

Front Desk Management

• Welcome and assist visitors, candidates, vendors, and employees professionally.

• Manage incoming calls and direct them to the appropriate departments.

• Maintain visitor records and coordinate visitor access.

• Handle incoming and outgoing couriers, documents, and correspondence.

• Ensure the reception and waiting areas remain organised and presentable.

HR Support

• Assist with employee onboarding documentation and joining formalities.

• Maintain employee records, attendance data, and HR documentation.

• Support interview scheduling and candidate coordination.

• Assist in employee engagement activities, internal communication, and HR events.

• Coordinate the issuance and collection of employee ID cards, access cards, and company assets.

• Support exit formalities and employee clearance processes.

Administration

• Coordinate office supplies, stationery, housekeeping, maintenance, and pantry requirements.

• Liaise with vendors and service providers for routine office requirements.

• Maintain administrative registers, invoices, bills, and supporting records.

• Coordinate meeting-room bookings and internal meetings.

• Monitor office infrastructure and escalate maintenance-related concerns.

• Provide administrative support to management and different departments as required.

Required Skills

• Strong verbal and written communication skills.

• Professional appearance and courteous behaviour.

• Good coordination and interpersonal skills.

• Working knowledge of Microsoft Office, email, and basic reporting.

• Ability to maintain confidentiality and handle sensitive employee information.

• Strong organisational skills and attention to detail.

• Ability to manage multiple responsibilities and follow up independently.

• Fluency in English, Hindi, and Gujarati will be preferred.

Preferred Candidate Profile

• Responsible, punctual, and process-oriented.

• Confident in interacting with employees, candidates, vendors, and senior management.

• Comfortable handling both front-desk and HR administrative responsibilities.

• Available to work from the Surat office.
