About The Role

Red Fort Capital is seeking a dependable and well-organized Office Manager & HR Coordinator to oversee the daily administrative operations of its BKC office and coordinate essential HR activities. This role is ideal for someone who thrives in a fast-paced environment and enjoys establishing efficient processes within a growing organization. The successful candidate will serve as the central point of contact for office administration, HR support, and vendor management, ensuring smooth operations and a positive workplace experience for all employees.

Qualifications

The ideal candidate should possess a graduate degree in any discipline with approximately 3 to 6 years of relevant experience in office administration, HR coordination, or a combined role. Prior experience in a financial services firm, NBFC, professional services, or a startup environment is preferred. Candidates should demonstrate excellent communication skills in English and Hindi, with knowledge of Marathi being advantageous. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is essential. The candidate must be organized, discreet, dependable, and capable of working independently while managing multiple priorities efficiently.

Responsibilities

Office Administration: Manage daily office operations to ensure workspaces, meeting rooms, and common areas are organized and professional. Maintain office supplies, stationery, pantry items, and equipment inventory. Coordinate with housekeeping, IT support, couriers, and other vendors to ensure seamless service delivery. Oversee repairs, maintenance, internet, telephone, and office equipment servicing. Liaise with building management and landlord to address facility-related issues. Maintain records of office assets, access cards, keys, and inventory. Organize visitors, meeting logistics, refreshments, and ensure a welcoming environment.

HR Administration: Maintain comprehensive employee records, including onboarding documents, personnel files, attendance, leave, and holiday records. Track employee attendance, leaves, probation periods, and confirmations, coordinating with finance or payroll teams. Prepare HR communications such as offer letters, appointment letters, and confirmation letters. Support employee benefits administration, including medical insurance and other perks. Ensure confidentiality of sensitive employee and compensation information at all times.

Recruitment Coordination: Post job vacancies on relevant portals and professional networks. Collaborate with recruitment agencies and staffing consultants. Screen applications based on eligibility criteria and maintain recruitment trackers. Schedule interviews, coordinate candidate communications, and collect necessary documentation, including current and expected compensation details. Assist with reference and background checks as needed. Prepare offer documentation aligned with management-approved terms.

Employee Onboarding and Exit: Facilitate onboarding processes, including documentation, workstation setup, and orientation. Arrange necessary access, email accounts, and introductory meetings. Maintain onboarding and exit checklists to ensure a smooth transition for new hires and departures. Coordinate asset returns, final settlements, and handovers with finance teams.

Employee and Team Coordination: Act as the primary point of contact for routine employee queries. Support travel arrangements, hotel bookings, and reimbursement processes. Organize team meetings, corporate events, and celebrations. Disseminate office notices, holiday schedules, and policy updates. Escalate sensitive employee issues to management appropriately.

Vendor and Expense Management: Obtain quotations, coordinate with vendors, and assist in comparison analysis. Maintain records of vendor agreements, invoices, and payment schedules. Verify supporting documents before submitting invoices to finance. Manage petty cash and routine expense records. Track service contracts, renewals, and recurring payments.

Limited Management Support: Schedule meetings and appointments, coordinate travel logistics, and organize documents for signatures. Follow up on administrative tasks, visitors, couriers, and external appointments. Provide support for occasional management needs as required.
