Job Description

  • Manage end-to-end procurement of goods and services needed by the school (stationery, academic supplies, furniture, IT equipment, maintenance, etc.).
  • Prepare and issue Requests for Quotation (RFQs), collect supplier proposals, prepare comparative statements, and finalize vendors as per policy.
  • Issue Purchase Orders (POs), track delivery timelines, and ensure timely receipt.
  • Maintain accurate records of all procurement transactions, contracts, and vendor documentation.

Vendor & Contract Management

  • Identify, evaluate and onboard reliable vendors; build strong supplier relationships.
  • Lead negotiations on pricing, delivery terms, payment terms, and quality standards.
  • Ensure vendors comply with agreed quality and delivery standards; manage performance feedback and dispute resolution.

Policy & Process

  • Ensure all purchases are conducted in accordance with the school’s procurement policy and financial controls.
  • Develop and improve standard operating procedures (SOPs) for procurement processes.
  • Coordinate with Finance/Accounts for invoice processing and payment reconciliation.

Budgeting & Cost Control

  • Work with school leadership to plan annual procurement needs and budget allocation.
  • Monitor price trends, negotiate for cost optimization, and implement cost-saving strategies.

Coordination

  • Liaise with administrative departments to understand and finalize requirements (academic, IT, maintenance, etc.).
  • Collaborate with the store/Inventory team for stock verification and replenishment planning.


Required Skills & Attributes

  • Strong negotiation and vendor management skills.
  • Knowledge of procurement lifecycle (sourcing, tendering, evaluation, ordering).
  • Excellent communication and coordination skills.
  • Proficiency in MS Office (especially Excel) and procurement documentation.
  • Analytical mindset with attention to detail.

  • Bachelor’s degree in Business Administration, Commerce, Supply Chain/Materials Management, or related field (MBA preferred).
  • Professional certification in procurement/supply chain is a plus.


Experience

  • Minimum 5–7 years of procurement/purchasing experience, ideally including centralized procurement functions.
  • Experience in educational institutions or large service organizations is preferred.
