Job Summary
Join our core internal team as a Finance Associate (AP) and play a pivotal role in supporting a dynamic, fast-paced AI company with a global reach. In this fully remote position, you will be responsible for executing critical accounts payable functions and managing US payroll, ensuring meticulous accuracy and high efficiency.
Key Responsibilities
- Process, review, and reconcile accounts payable transactions with a high degree of accuracy and attention to detail.
- Ensure timely and accurate payroll processing for US employees via Deel, as well as for international Employer of Record (EOR) and global contractors.
- Oversee and manage vendor invoices and employee expenses using Brex, maintaining comprehensive records for compliance and reporting.
- Collaborate with internal teams to resolve invoice discrepancies and respond promptly to vendor and employee inquiries.
- Utilize QuickBooks to record, track, and report on all AP-related transactions, supporting monthly and year-end close processes.
- Maintain strict adherence to financial controls and company policies, identifying opportunities for process improvement.
- Handle a large volume of concurrent, critical tasks while remaining highly organized and meeting tight deadlines.
Required Skills and Qualifications
- Experience: Proven experience in Accounts Payable, US payroll, and QuickBooks within a high-growth, start-up, or technology-driven environment.
- Payroll Systems: Demonstrated hands-on expertise processing payroll through Deel for US-based employees and international EOR/contractor structures.
- Expense Management: Solid proficiency with Brex for managing vendor invoicing and employee expense workflows.
- Organization: Exceptional organizational skills and the ability to manage multiple priorities with precision and urgency.
- Communication: Strong written and verbal communication skills, with a focus on clarity, accuracy, and professionalism.
- Work Style: High degree of initiative, ownership, and comfort operating in a fast-paced, flexible, global workplace.
- Integrity: Meticulous attention to detail, high integrity, and a strict commitment to upholding data security and financial confidentiality.
Preferred Qualifications
- Prior experience working in the AI or technology sector, supporting globally distributed teams.
- Deep familiarity with international payroll practices, currency conversions, and global compliance frameworks.
- A strong background in supporting start-up or scale-up environments with a high operational tempo.
